About the Role:
We are looking for a proactive, highly organised Business/Office Administrator to provide executive support primarily to the CEO, while also supporting the wider C-Suite and ensuring smooth administrative and operational coordination across the business.
This role is ideal for someone with around 5 years of experience in a startup or scale-up environment who thrives in a fast-moving setting, anticipates needs and brings structure, clarity and follow-through to a growing organisation.
You will play a key role in supporting leadership effectiveness, acting as a culture champion, assisting with People & Culture administration and recruitment coordination, and ensuring that our Jordan-based team is fully supported in their day-to-day work.
Key Responsibilities:
Executive & CEO Support
- Manage and coordinate the CEO’s calendar, meetings, travel and appointments
- Act as a gatekeeper for the CEO: screen, prioritise and route information, messages and requests
- Prepare agendas, meeting notes, action items and light documentation
- Support the CEO with task tracking, reminders, follow-ups and admin workflows
- Represent the CEO professionally when communicating on their behalf
- Provide ad-hoc executive support to other C-Suite members as needed
People, Culture & Recruitment Support
- Act as a culture champion, helping reinforce company values, behaviours and ways of working
- Assist with onboarding for local employees
- Assist the Director of People & Culture with recruitment coordination
- Help coordinate internal engagement initiatives, team events and celebrations
Business, Office & Jordan Team Administration
- Provide administrative support across all business functions
- Ensure the Amman office runs smoothly and team members are supported with day-to-day needs
- Manage office and admin supplies (equipment, software licences, subscriptions)
- Coordinate with vendors and service providers (ordering, deliveries, renewals, follow-ups)
- Support onboarding logistics for local hires (equipment coordination, access setup, first-day support)
- Manage internal calendars for team-wide meetings, trainings and workshops
- Maintain and update documentation across Google Drive and Confluence
- Maintain organised digital filing systems and document standards
- Draft simple internal documents, templates, checklists and forms
- Arrange logistics for offsites, trainings, workshops and internal events
- Assist with travel arrangements for team members when required
- Identify operational issues early and escalate appropriately
Requirements
- Around 5 years’ experience in business administration, executive support, PA or coordination roles
- Proven experience supporting a senior executive (CEO or equivalent)
- Experience in a startup, scale-up or fast-paced tech environment
- Excellent organisational, prioritisation and time-management skills
- Strong written and verbal communication in English and Arabic
- High level of discretion, reliability, attention to detail and follow-through
- Comfortable using digital tools (Google Workspace, Slack, Confluence, task managers)
- Proactive problem-solver who can think on their feet and adapt quickly
