Position Summary
The Administrative Manager is responsible for supervising and coordinating all administrative and operational support functions of the organization. This role oversees fleet management, warehouse and assets, maintenance, archiving, procurement, legal affairs, investment follow-up, cleaning services, and security. The position ensures that administrative systems operate efficiently, comply with policies and donor requirements, and effectively support program implementation.
Key Responsibilities
- Oversee daily operations of all administrative units, ensuring efficient and high-quality service delivery.
- Develop and implement administrative procedures, policies, and systems that support organizational goals.
- Supervise fleet operations, including vehicle scheduling, maintenance, safety, and driver management.
- Manage warehouse and asset operations, ensuring proper documentation, inventory control, and distribution.
- Ensure timely and effective facility maintenance, repairs, and service provider coordination.
- Oversee document management, filing, and archiving systems in compliance with internal and legal requirements.
- Lead procurement activities, ensuring transparency, competitiveness, and adherence to donor and organizational policies.
- Coordinate legal affairs, contracts, and compliance issues with external legal advisors when necessary.
- Monitor and follow up on organizational investments, ensuring proper documentation and reporting.
- Supervise cleaning and security teams, ensuring safe, secure, and well-maintained facilities.
- Support budget preparation and monitor administrative expenditures to ensure cost-effectiveness.
- Ensure all administrative operations comply with internal policies, donor rules, and local regulations.
- Identify process gaps and recommend improvements to enhance efficiency and operational performance.
Qualifications
- Bachelor’s degree in Business Administration, Management, Public Administration, or a related field.
- Minimum of 8+ years of progressive experience in a similar role
- Proven experience as an Administrative Manager or similar leadership role, preferably in NGOs or humanitarian organizations.
- Strong knowledge of logistics, procurement, facilities management, and administrative operations.
- Understanding of NGO standards, compliance requirements, and donor guidelines.
- Excellent organizational, leadership, and problem-solving skills.
- Strong communication skills in English; Arabic is an asset.
- Proficiency in MS Office and administrative management systems
