Job Summary and Purpose
Lead, elevate and optimize the Administrative Services function to enhance operational efficiency, cost-effectiveness, and superior service quality across all areas, including facility management, logistics, engineering, health and safety and procurement. Ensure outstanding (world-class) customer experience across all service delivery touchpoints while maintaining the highest standards of quality, functionality and appearance.
Key Responsibilities
- Establish and enforce SLAs for all Administrative Services functions (procurement, logistics, engineering, special projects, facility management, and Health & Safety), ensure deadlines are met, operations are efficient, and both internal teams and vendors meet performance standards.
- Create and apply process improvements and automation using advanced technologies to remove inefficiencies, prevent delays, and ensure high performance with clear results.
- Regularly review and audit processes to find and fix problems, ensure ongoing improvement and alignment with global best practices, while improving satisfaction in internal surveys.
- Lead engineering, construction, renovation and special projects, ensuring they are delivered on time and within budget, with strong quality control, risk management, and tracking to avoid rework and overruns.
- Improve facility operations and space management through space optimization, apply predictive maintenance, lower costs, and improve the overall environment to make it more welcoming and productive.
- Ensure facilities run smoothly by preventing issues and maintaining systems to avoid unexpected downtime (preventive maintenance).
- Manage sustainable facility practices, like green building certifications and energy-efficient operations, to lower energy consumption.
- Maintain top Health and Safety standards through risk assessments, audits, and training, fostering a safety-first culture, and continuously improving outcomes.
- Promote a customer-focused service culture in all departments, align their functions with business goals. Track performance, ensure accountability, and use feedback to drive measurable improvements that enhance satisfaction and support business objectives.
- Define, track, and review key performance indicators to ensure goals are met in operational, financial, and sustainability areas, taking corrective action when necessary to improve efficiency.
- Manage the procurement department to ensure best practices and optimal supply chain process is in place.
- Create a clear reporting system to track key metrics, and provide timely updates on progress and achievements, while using feedback to drive continuous improvement.
