The Office Support & Administrative Assistant role is the hub of operational support—balancing front-office professionalism with behind-the-scenes administration. From answering calls and welcoming visitors to coordinating invoices, maintaining filing systems, this role ensures that the office runs smoothly, deadlines are met, and leadership is free to focus on strategic priorities.
➤ What you’ll do
You’ll oversee reception, administration, financial coordination, and secretarial support, serving as the central point that keeps daily operations running smoothly. You’ll also design and refine systems, including Standard Operating Procedures (SOPs), digital and physical filing structures, and workflow checklists. You’ll streamline processes, improve record-keeping, and ensure information is accurate, accessible, and secure.
Front desk & office administration
- General office management and visitor reception.
- Answer and route telephone calls; manage company contact lists.
- Maintain filing systems (physical and digital) including reference numbers, business cards, and archiving.
- Manage travel and accommodation bookings.
- Oversee office consumables, stationery, and supplies.
- Liaise with IT support for account creation, access, and closure of departing employees.
- Maintain office insurance and registrations (e.g., vehicles, buildings, equipment).
Financial coordination
- Support invoicing, receipts, and payment processing.
- Prepare purchase orders, follow up on overdue payments, and reconcile creditor statements.
- Manage petty cash transactions.
- Track rent collection, municipality taxes, electricity, and water expenditures.
- Maintain financial logs and submit reports.
Secretarial support to leadership
- Proofread and format letters and contracts.
- Assist with visa applications and client correspondence.
- Maintain calendars, set appointments, and support executive travel.
- Ensure official documents and licenses are up-to-date.
➤ Requirements
- Bachelor’s degree in Administration, Management, or a related field.
- A minimum of 1-2 years relevant experience in a similar professional environment.
- Proficient in spoken and written English & Arabic.
- Strong attention to detail, communication, and organizational skills.
