About The Role
We are seeking a proactive and organized Facility Manager to oversee facility operations in Jordan and provide remote administrative and coordination support for KSA FM operations. This role focuses on monitoring maintenance performance, managing budgets, tracking costs, maintaining documentation, and ensuring compliance with safety and company standards. The Facility Manager will play a key role in centralizing facility data, supporting cross-country maintenance activities, and ensuring timely reporting and communication between teams and vendors.
What You’ll Do
Administrative & Office Support
- Prepare and issue invoices related to facility management activities.
- Follow up on work orders, ensuring timely closure, documentation, and reporting.
- Support in budget preparation, cost tracking, and variance analysis.
- Manage and organize contracts, service agreements, and supplier documentation.
- Develop and maintain a centralized FM database (assets, maintenance logs, warranties, etc.).
 
 
Maintenance Management
- Monitor preventive maintenance schedules for all systems (HVAC, electrical, plumbing, fire safety, etc.).
- Track reactive maintenance requests and ensure timely response and resolution.
- Review and analyze maintenance reports, identifying trends or recurring issues.
- Coordinate with Facility Managers in KSA to ensure compliance with maintenance and operational plans.
 
 
Asset & Inventory Management
- Oversee spare parts inventory, including stock levels, purchase requests, and consumption tracking.
- Maintain an asset register with full lifecycle information (installation, maintenance, and replacement).
- Support procurement planning for critical spare parts and consumables.
 
 
Financial & Budget Control
- Assist in the preparation of monthly maintenance budgets.
- Track expenses for ongoing maintenance and improvement projects.
- Support cost optimization initiatives, including vendor performance reviews and energy-saving measures.
 
 
Project & Improvement Tracking
- Monitor ongoing improvement projects, ensuring regular updates on progress, cost, and timelines.
 
 
Compliance & Reporting
- Ensure all documentation and maintenance activities align with safety standards and company policies.
- Prepare monthly reports covering maintenance KPIs, cost summaries, and key operational updates.
 
 
What We’re Looking For
- Experience: 3–5 years of experience in facilities management, administrative support, or operations coordination, ideally within multi-site environments.
- Education: Bachelor’s degree in Mechanical, Electrical, Industrial Engineering, or a related field (preferred).
- Strong understanding of facility management processes, maintenance coordination, and documentation control.
- Proven ability to manage data, budgets, and reports accurately and efficiently.
- Excellent communication, organizational, and multitasking skills.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) or similar tools for reporting and analysis.
- Fluency in Arabic and English.
