Job Summary
We are seeking a detail-oriented and organized Logistics Administrator to support our logistics and supply chain operations by managing documentation, inventory records, invoicing, and shipment coordination. The ideal candidate will ensure that all logistics-related administrative processes are completed accurately and on time while serving as a key point of contact between internal departments, suppliers , and freight forwarders.
Key Responsibilities
- Prepare and process delivery notes, packing lists, invoices, shipment simulations, and shipping documentation.
- Issue customer invoices and verify that supporting documentation is accurate and complete.
- Maintain accurate inventory records and update stock movements in the company's inventory management system.
- Coordinate with warehouse personnel to ensure inventory transactions are recorded correctly.
- Monitor inventory levels and report stock discrepancies or shortages.
- Request freight quotations and negotiate shipping rates and service terms when required from the team.
- Track shipments and provide regular updates to internal teams.
- Maintain organized records of shipping documents, invoices, freight costs, and customs documentation.
- Support customs clearance processes by preparing and providing the required documentation.
- Coordinate with the Finance department to reconcile delivery notes, invoices, and shipping records.
- Prepare periodic reports on inventory, shipments, freight expenses, and logistics activities.
- Ensure compliance with company procedures and logistics documentation standards.
- Assist with inventory counts, stock reconciliations, and periodic audits.
- Perform other administrative and logistics-related duties as assigned.
Qualifications
- Bachelor's degree in Business Administration, Logistics, Supply Chain Management, or a related field.
- 0-1 years of experience in logistics administration, supply chain, shipping, or a similar administrative role.
- Experience preparing shipping documents, delivery notes, invoices, and inventory records.
- Familiarity with ERP systems or inventory management software.
- Proficiency in Microsoft Office, particularly Excel and Word.
- Strong organizational and administrative skills.
- Excellent attention to detail and accuracy.
- Good communication and interpersonal skills.
- Ability to prioritize tasks and meet deadlines.
- Experience working with freight forwarders and logistics providers is an advantage.
Preferred Skills
- Knowledge of international shipping procedures and Incoterms.
- Basic understanding of customs documentation and import/export processes.
- Strong negotiation skills when dealing with freight forwarders.
- Ability to work independently and collaboratively in a fast-paced environment.
