Job Purpose
To coordinate and administer all activities related to share schemes across IGI locations including efficient administration, handling employee queries and communication with a high quality of service, support compliant accounting & reporting, and ensuring smooth coordination and communication with external share schemes vendors and transfer agents and internal stakeholders. To provide support with benefits reviews, including survey submissions and market data analysis, creation and/or review of current policies, and assist with the creation of IGI’s benefits framework.
Duties and Responsibilities
Employee Share Plans
- Coordinate and administer IGI Share Schemes across all locations, including
- Enrolment, award, and leavers processes
- Preparation and distribution of all communications to eligible employees
- Accurate and timely calculations preparation, communication, and coordination for recurring and ad-hoc reports for payroll and finance department to meet reporting requirements
- Oversee and ensure accurate movement of funds/shares with transfer agent and equity management provider and IGI finance department
- Liaise purchase of shares as needed
- Respond to queries and illustration requests from employees regarding IGI share plans mechanics plan mechanics to raise understanding and appreciation
- Prepare and maintain documentation for all processes related to share schemes as per internal controls
- Support financial control areas including monthly reconciliation process and analysis of data for Group Accounting and Audit
- Maintain excellent service delivery for all key stakeholder in the end-to-end process.
- Manage equity information flow to internal and external stakeholders as needed
- Handle all data & report requests from relevant internal and external stakeholder as needed including all share awards and vesting schedules
- Manage share plans platform (Global Shares) including all training and communication material, and support employees on how to use the platform
- Build and maintain positive working relationships with employees, service providers, and key stakeholders
Benefits
- Submit data to third-party market data providers for recurring and ad-hoc benefits surveys
- Assist in the creation and/or review of benefits policies & procedures, including data gathering, market data analysis, costs, training material and employee communication process as needed
- May be required to provide advice and guidance on all key benefits to country HR Managers, talent acquisition, line managers, employees, and other internal stakeholders
- May be required to administer enrolment/disenrollment of employees in benefits with benefits providers
Other responsibilities
- Participate in share schemes and benefits related projects including system enhancements, automation projects, process improvements and legal and tax advice reviews.
Academic Qualifications:
- Bachelor's degree in, Human Resources, Business Administration, Accounting or other related field
- Experience Required:
- 3-5 years proven experience in similar role or HR Service delivery/operations role
- Proven experience in administering end-to-end share plans
- Experience in Global Shares or similar equity administration software is desirable.
- Experience in working with survey providers (WTW, Mercer, Korn Ferry) is a plus but not a must.
- Experience of Workday or similar HR software is a plus but not a must.
- Awareness of global tax laws is desirable
- Languages: English and Arabic
