"SUMMARY
The NATO Liaison Office (NLO) Jordan represents NATO in the Hashemite Kingdom of Jordan, with the aim of enhancing political dialogue and practical cooperation in areas of common interest between the Alliance and Jordan, building on their longstanding partnership bilaterally and in the framework of the Mediterranean Dialogue (MD).
The NLO enables regular engagement between NATO and the Jordanian authorities, as well as the security forces, and contributes to the development and implementation of partnership programmes and activities.
The Principal Assistant provides administrative, organisational, and liaison support to ensure the effective functioning of the NLO, both on site and remotely (teleworking). The incumbent manages local administrative processes, supports interactions with Jordanian authorities, facilitates HR-related administrative tasks, and provides coordination and logistical assistance for the Head of the NLO and other international staff.
QUALIFICATIONS AND EXPERIENCE
ESSENTIAL
The incumbent must:
be a citizen or permanent resident of Jordan;
have a good general education, at least to higher secondary school level;
have a minimum of 6 years of administrative or directly relevant work experience;
possess proficiency in Modern Standard Arabic level VI (proficient) and English level V (advanced) with the ability to review and translate documents between English and Arabic and vice versa;
demonstrate excellent computer skills and familiarity with MS office applications;
be able to travel locally as needed and hold a valid driver’s license;
have familiarity in managing budgets and petty cash for office needs;
have no criminal record and pass security vetting.
DESIRABLE
The following would be considered an advantage:
a university degree in a field relevant to the post;
prior experience working with Jordanian government authorities, embassies, diplomatic missions, international organisations, and/or security forces or similar environment;
knowledge of local administrative and logistical processes within government institutions, for example customs, tax department, and VAT exemptions, and visa management;
established network within Jordanian administrative and logistics circles;
flexibility to handle occasional out-of-hours tasks such as urgent logistical adjustments or short-notice administrative requests.
MAIN ACCOUNTABILITIES
Provide day-to-day administrative support to ensure the smooth functioning of the NLO, including document preparation, correspondence, scheduling, and general office organisation;
Liaise with Jordanian ministries, security institutions, and other government bodies to support administrative and diplomatic processes, including visas, residency, accreditation, and other host-nation procedures;
Draft official documents in Arabic, based on an English version provided (e.g. notes verbales, memos, etc.).
Assist the Head of the NLO with arranging meetings, making appointments, coordinating follow-up actions, and preparing routine documentation in Arabic and English;
Support HR-related administrative tasks under the guidance of the Coordinator (Finance & Administration), including maintaining HR files, assisting with in- and out-processing, handling accreditation documentation, and coordinating recruitment logistics for LES positions;
Monitor publicly available information and local media relevant to NATO-Jordan activities and provide brief updates to the Head of the NLO when requested;
Translate correspondence and non-technical texts from English into Modern Standard Arabic and vice versa, as needed;
Support the Coordinator (Finance & Administration) with the NLO operating budget;
Coordinate with the NLO’s driver and other local service providers to arrange transportation, procurement, and minor facility needs;
Assist with managing local petty cash, office supplies, and minor financial transactions in line with NATO procedures;
Provide flexible teleworking support and be available for occasional on-call administrative tasks as required;
Maintain a professional, courteous, and client-oriented approach and uphold the confidentiality and security of NATO information at all times;
Perform other related administrative duties as assigned.
INTERRELATIONSHIPS
The Principal Assistant reports to the Head of the NATO Liaison Office, through the Coordinator (Finance & Administration) in Jordan. S/he will work closely with all staff in the NLO and with the office’s driver. S/he liaises with both NATO International Staff and local entities to ensure operational efficiency.

EMPLOYMENT CONDITIONS
The monthly basic salary for this post is 1587,33 JOD (subject to local taxation). The monthly basic salary will be reviewed every two years and is not exempt from taxation. Additional allowances or adjustments may be applied.
NATO may offer a three-year contract to the successful candidate, which may be renewed for subsequent periods. This possibility is based on the needs of NATO and on the performance of the incumbent.
The nature of this position may require the staff member to travel for work and/or to work outside normal office hours. It may also require periods of teleworking from home.
The NATO Liaison Office in Jordan is a non-smoking environment.
