Job Summary
The Operations Manager plays a critical role in coordinating between management, production teams, and external stakeholders to ensure the timely and efficient fulfillment of customer orders. This role oversees daily operational workflows, logistics, documentation, and the performance of the Logistics Officer and Operations Support Officer. The Operations Supervisor ensures seamless production-to-delivery processes that uphold high standards of quality and service excellence.
Key Responsibilities
- Supervise and support the Logistics Officer and Operations Support Officer, ensuring accuracy and timely completion of tasks.
- Serve as the primary liaison between management, production, and sales to maintain operational efficiency.
- Follow up with warehouse and production to prepare required size sets and customized orders based on sales demands.
- Monitor workflows and recommend improvements to enhance production-to-delivery cycles.
- Issue invoices, delivery notes, packing lists, and other required operational documentation.
- Coordinate and track customer deliveries; ensure collection of signed/stamped delivery documents.
- Process and monitor online orders promptly and accurately.
- Prepare and process all shipping documentation, including invoices, certificates of origin, and authorization letters, ensuring compliance with regulations.
- Coordinate with customs officials at airports and seaports for smooth shipment clearance.
- Gather quotations, negotiate with logistics providers, and secure competitive shipping and freight rates.
- Update the CRM system daily to maintain accurate order statuses and customer information.
- Organize, code, and archive all operational records and paperwork.
- Handle calls and email inquiries, ensuring professional and timely responses.
- Collaborate with management to resolve operational issues and support company objectives.
- Perform additional duties assigned by management.
Qualifications And Requirements
- Bachelor’s degree in Business Administration, Logistics, Supply Chain, or related field (preferred).
- 4+ years of experience in operations, logistics, or supply chain. (Experience in fashion/garment industry is a strong plus.)
- Proven experience supervising and guiding a small operations/logistics team.
- Strong knowledge of shipping, customs clearance, and regulatory documentation.
- Excellent organizational, negotiation, and communication skills.
- Proficiency in Microsoft Office Suite and CRM systems.
- Ability to manage multiple priorities in a fast-paced environment with tight deadlines.
