Personal Assistant to Deputy CEO
The Personal Assistant (PA) provides high-level administrative, organizational, and secretarial support to the Deputy Chief Executive Officer (DCEO). The role ensures smooth daily operations, effective communication, and time efficiency, with a strong emphasis on digital collaboration, AI-enabled tools, and technology-driven solutions.
Accountabilities and Key Roles:
- Manage the DCEO’s office, calendar, schedule, appointments, and travel arrangements using smart scheduling and workflow tools to ensure efficient time management and prioritization of critical matters.
- Prepare agendas, take minutes, and follow-ups for meetings. Ensure all correspondence, reports, and presentations are accurate, well-formatted, timely, and properly documented.
- Act as the primary point of contact for internal and external stakeholders, ensuring clear, professional, and timely communication through multiple channels (email, Teams, Slack, etc.).
- Provide executive-level secretarial services, including AI-assisted drafting, formatting, data entry, and document automation while ensuring confidentiality and data security.
- Organize and maintain records, reports, and databases (including key contacts) with effective use of digital solutions and document-management systems.
- Arrange and coordinate business meetings, conferences, workshops and webinars, as well as leveraging collaboration to ensure seamless participation and engagement.
- Drive workflow efficiency by introducing digital task management and automation tools, ensuring smooth coordination across departments and proactive follow-up on delegated actions.
- Provide the Executive Manager with accurate, data-driven information and AI-generated summaries to support agile and fact-based decision-making.
Job Requirements:
- Strong organizational, multitasking, and time management skills.
- High proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and digital collaboration platforms.
- Demonstrated ability to leverage emerging technologies and intelligence tools (e.g., AI, ChatGPT, workflow automation apps, data visualization dashboards) to enhance productivity, efficiency, and communication.
- Bachelor’s degree in Business Administration, Management, or related field is desirable but not essential. Equivalent experience and proven digital expertise may substitute formal education.
- 5+ years of experience as a PA or Executive Assistant, preferably within banking or financial services.
- Excellent communication skills in English and Arabic (French is a plus).
