Position Objective
The Reporting & Scheduling Specialist is responsible for developing, maintaining, and controlling project schedules across OSP, ISP, Data Center, and Exchange activities while ensuring accurate and timely reporting to support project visibility and performance monitoring. The role focuses on enhancing coordination between engineering, design, permitting, implementation, and contractor teams to ensure schedule readiness and alignment. The position also supports management through analytical insights, KPI tracking, executive-level reporting, and the development of automated dashboards and reporting tools to improve operational efficiency and data integrity.
Job Description & Responsibilities
- Develop, update, and maintain detailed project schedules covering all phases of OSP, ISP, Data Center, and Exchange implementation activities.
- Monitor and track daily, weekly, and monthly progress against approved baseline schedules and identify schedule variances.
- Prepare schedule forecasts, delay analyses, mitigation plans, and recovery schedules in coordination with project teams and contractors.
- Consolidate progress data from multiple regions, contractors, and departments into centralized reporting structures.
- Prepare weekly, monthly, and KPI-aligned progress reports for management and client stakeholders.
- Develop and maintain Power BI dashboards, advanced Excel trackers, and visual reporting tools to enhance project visibility and reporting accuracy.
- Ensure data accuracy, consistency, and integrity across ERP systems, client portals, databases, and internal reporting platforms.
- Coordinate with engineering, design, permitting, implementation, and contractor teams to ensure schedule alignment and readiness.
- Review and validate contractor progress submissions, productivity reports, and schedules before integration into master schedules.
- Monitor and analyze key KPIs including installation progress, testing and acceptance rates, productivity trends, and project performance metrics.
- Support automation and digitalization of reporting processes to improve efficiency, transparency, and reporting quality.
- Conduct schedule and reporting audits to identify discrepancies, missing updates, and data inconsistencies.
- Prepare executive-level presentations, summaries, dashboards, and analytical insights for management decision-making.
- Monitor project dependencies, constraints, risks, and critical path activities to support proactive issue resolution.
- Assess schedule impacts resulting from scope changes, route modifications, design changes, and project variations.
- Coordinate with contractors and stakeholders to ensure timely submission of schedules, reports, and supporting documentation.
- Maintain project historical records, trend analyses, lessons learned, and performance benchmarks for continuous improvement initiatives.
- Participate in internal and external project meetings to present schedule status, reporting updates, and performance insights.
- Ensure alignment between field progress, system updates, and reporting outputs across all project domains.
- Maintain proper archive management (soft and hard copies) for all project schedules, reports, and planning documentation.
Qualifications & Experience
- Bachelor’s degree in Engineering, Project Management, Business Administration, or a related discipline.
- Minimum 5–8 years of experience in scheduling, reporting, or project controls within telecom, infrastructure, or large-scale construction projects.
- Strong knowledge of project scheduling methodologies and tools such as Primavera P6, MS Project, or equivalent platforms.
- Hands-on experience with Power BI, advanced Microsoft Excel, and data visualization/reporting tools.
- Experience working with ERP systems, client portals, project databases, and progress monitoring systems.
- Strong analytical, organizational, and problem-solving skills with excellent attention to detail.
- Excellent communication, coordination, and presentation skills with the ability to present complex data clearly.
- Ability to manage multiple priorities, work under pressure, and meet strict reporting deadlines.
- Strong understanding of telecom implementation environments including OSP, ISP, Data Center, and Exchange domains is preferred.
- Knowledge of KPI tracking, reporting automation, and project performance analysis methodologies.
- Proficiency in Microsoft Office applications including Excel, PowerPoint, and Word.
