WMS Data & Operations Coordinator | Location: Khraibet Al Souq – سحاب
The WMS Data & Operations Coordinator is responsible for efficiently managing and maintaining data accuracy within the Warehouse Management System (WMS). This role supports warehouse operations by ensuring real-time and precise data entry, executing inventory audits, generating reports, and collaborating with internal teams to streamline workflows and maintain high inventory accuracy. Proficiency in Excel, WMS, and reporting tools is essential for success in this position.
WMS Operations & Data Management
- Accurately input and maintain data within the Warehouse Management System (WMS).
- Ensure timely and correct entry of all inventory transactions including receipts, shipments, and adjustments.
- Maintain real-time updates in the WMS following standard operating procedures (SOPs).
- Conduct regular daily, weekly, and monthly audits to ensure data integrity and accuracy.
- Identify and promptly rectify data discrepancies to maintain reliable system records.
- Perform daily cycle counts and support monthly inventory counts.
- Maintain accurate stock levels in the system to avoid variances and ensure operational readiness.
Operational Support
- Create shipment orders and Advanced Shipping Notices (ASN) in the WMS.
- Print relevant warehouse documents such as pick lists and tally sheets.
- Collaborate with Client Service Executives to ensure smooth inbound and outbound documentation processes.
- Provide the necessary documentation for ex-works and outbound shipments.
- Coordinate effectively with warehouse operations to ensure data supports physical workflows.
- Prioritize and execute tasks efficiently to meet operational deadlines and maintain seamless warehouse performance.
Reporting & Documentation
- Prepare and submit regular reports including:
- Stock movement reports
- Inbound and outbound status updates
- Mismatch and discrepancy reports
- Daily/weekly/monthly cycle count reports
- Draft exception reports highlighting variances between system data and physical stock.
- Support reporting needs as requested by management or business requirements.
Collaboration & Accountability
- Work closely with other departments to align system data with actual operations.
- Ensure consistent and accurate data across all platforms.
- Accountable for 100% accuracy of master data within assigned responsibilities.
- Escalate potential risks, data concerns, or system issues to the direct manager.
- Support continuous improvement initiatives by highlighting opportunities to enhance WMS usage or workflow efficiency.
Experience & Job Requirements
- Preferred: Bachelor’s degree in Logistics, Supply Chain Management, or a related field.
- Strong computer literacy, particularly in MS Excel and other Office applications.
- Must have experience with Warehouse Management Systems (WMS) and operational databases.
- High attention to detail and accuracy in data entry and validation.
- Problem-solving skills with a proactive attitude.
- Ability to manage multiple tasks in a fast-paced environment.
- Strong organizational and time-management skills.
- Effective communication and coordination skills with cross-functional teams.
