Human Resources Assistant
CONTEXT:
Médecins Sans Frontières is a private, non-profit international humanitarian organization dedicated to providing medical assistance to populations in crisis, without discrimination and regardless of race, religion, creed or political affiliation. Médecins Sans Frontières is seeking for an Human Resources Assistant in its Country Office, in Amman – Jordan.
SCOPE OF RESPONSIBILITIES
Execute administrative, HR and legal related tasks to support the Personnel Administration Manager following MSF standards and procedures, in order to ensure legal compliance and to realize the HR capacity required to achieve Country Office objectives.
Accountabilities :
· Under supervision of the Personnel Administration Manager managing personal files in order to ensure accuracy, compliance and on time payments.
· Updating the HR database and personal files to facilitate HR processes management.
· Updating Social security Tax office files to meet legal requirements including specific amendments, when necessary, to ensure local labor and fiscal law compliance.
· Preparing employment contracts in conformity with legal requirements including specific amendments, when necessary, to ensure local labor and fiscal law compliance.
· Preparing monthly pay slips for all staff, editing and updating the necessary data, to ensure the punctuality and accuracy of staff payroll.
· Making all administrative information available to the staff (posting, meetings, etc.), supporting the Personnel Administration Manager in translating documents into local language and assisting in meetings upon request.
Additional HR/ Admin tasks delegated by the Personnel Administration Manager
Context Specific Accountabilities :
International Staff & Administrative Support
Assist with the paperwork for visas, work permits, and residency for all international staff.
Act as the daily contact point for the Protocol Office regarding international staff legal requirements.
Organize airport/bridge movements and schedule arrival/departure briefings.
Translate simple documents and local rules between English and Arabic.
Recruitment & HR Support
Invite candidates for tests/interviews and prepare the meeting rooms.
Help screen CVs based on the announcement criteria and conduct reference checks.
Prepare the onboarding for new staff.
Facilities
Report the maintenance request for the office and apartments to the logistics team and ensure the follow-up of fixing it.
Support the Personnel administration manager in the accommodation and organization of the international staff in MSF apartments and guest houses.
Keep track of office, apartments and kitchen supplies; handle distribution and the supply requests (internal requests, supply orders, etc.).
Support the manager in supervising housekeeping staff.
Coordinate with Finance
Monitor apartment contracts and prepare utility bills (water, electricity, internet, etc.) for the Finance department to process payments.
Prepare Pdiem sheets for the international staff in the mission and visitors.
Prepare all required paperwork for daily workers and follow up with Finance to ensure they are paid on time.
Manage small cash advances for minor office expenses.
Provide basic backup for the Finance Assistant when necessary.
External Partner Coordination
Handle all reservations including but not limited for ticket booking for staff, hotel room booking, and airport and bridge transport services.
Focal point for staff health insurance services and other service providers to ensure uninterrupted service.
Draft the formal letters to authorities and partners in both English and Arabic.
Maintain a tracker for all service agreements to ensure timely renewals.
Filing and Archiving
Maintain organized filing systems for personnel files, contracts, and official letters.
Ensure all office archiving are labeled and stored correctly.
Requirements:
Education : Desirable finance, business or administration related diploma.
Experience : Essential previous working experience of at least two years in relevant jobs.
Desirable experience in MSF or other NGOs in developing countries.
Languages :Mission and local language essential.
Knowledge : Essential computer literacy (word, excel, internet)

CONTRACT: 6 Months Fixed term contract renewabel – Full Time
