ESSENTIAL DUTIES AND RESPONSIBILITIES
Scope of Work:
Oversee the administrative staff (including administrative assistants, receptionists, housekeepers)
Supervise the administrative activities that facilitate the smooth running of IMC Jordan office as well as in the field.
Supervise the whole process of issuing visas, residencies, work permits and other required processes for all IMC Jordan expatriate staff. Similarly, responsible for staff from others IMC mission such as IMC regional staff.
Provide coordination and follow-up services to the expatriate staff work permit and residencies application in governmental institutions as needed, and make sure they are always up to dated.
Provide support for all IMC units and projects as required.
Provide support for all visitors and guests.
Ensure IMC Jordan mission has valid registration and permit.
Organize the office layout as required by management and oversea maintenance to preserve the proper condition of the offices and arrange all necessary repairs and needed.
Identify the needs and provides supplies for IMC Jordan offices such as stationery and equipment’s, to be available, well maintained and accurately Recorded, in the best cost-effective way.
Keeping IMC Jordan offices in well always maintained hygienic condition.
To be the focal point for IMC with ministries and governmental divisions as needed
Focal person to facilitate MOH annual audit.
Execute and supervise the process of getting all authorizations required to access the camps for IMC staff, visitors and companies that have a agreement with IMC.
Keeping the IMC Jordan offices in the well-Maintained hygienic condition at all times.
Attend the pipelines meetings and update the pipelines for the project’s pipelines accordingly.
Assist the relevant project managers as needed to ensure the timely development and implementation of work plans, and highlight possible delays, particularly those related to Governmental approvals and permissions.
Responsible for providing support to IMC expatriate staff guest houses management, including submitting the utilities’ bill timely.
Responsible for getting all logistical supplies for IMC Amman offices and guest houses.
Responsible for guest hotel management, including booking the hotels and arrange the training rooms in the hotels based on the program needs.
Responsible of booking appointments with outside organizations.
Prepare necessary and required documentation and maintain all the administrative paper field properly secured.
Others work assigned by the supervisor as needed related to administrative tasks.
Qualification:
Proven experience as Administration work
In-depth understanding of office management procedures and departmental and legal policies
Proficiency in MS Office
Excellent organizational and multitasking abilities
A team player with leadership skills
Over 6 years of experience working with International Humanitarian organization will be given prefer.
Excellent command in English.
