We are seeking a highly organised and proactive Operations & Administration Officer to oversee the smooth running of day-to-day operations and provide essential support across multiple business functions. This is a fully remote role that requires independence, initiative, and a strong sense of ownership.
Role Overview
You will play a key role in ensuring operational efficiency across the organisation. From managing course logistics and client onboarding to coordinating venues and streamlining internal processes, you’ll help ensure that all training activities run seamlessly and professionally.
Key Responsibilities
- Manage daily operational workflows to ensure smooth business processes.
- Oversee client onboarding, account setup, and training enrolments.
- Coordinate communication between internal teams, trainers, and participants.
- Handle logistics for online and in-person training events, including venue research, booking, and coordination with suppliers.
- Process payments, invoices, and refunds according to company policy.
- Maintain accurate documentation, reports, and digital databases.
- Schedule meetings, manage calendars, and support project coordination.
- Draft and review professional correspondence, reports, and presentations.
- Monitor online training platforms and report technical issues.
- Ensure compliance with company standards and regulatory requirements.
- Identify opportunities to improve efficiency through digital tools and automation.
- Provide operational and administrative support to senior management.
Requirements
- 1–2+ years of experience in operations, administration, or coordination roles.
- Strong organisational, multitasking, and time management skills.
- Excellent written and verbal communication skills in English.
- Proficiency in Microsoft Office and remote collaboration tools (Teams, Slack, Google Workspace, etc.).
- Experience managing venue bookings, supplier coordination, or event logistics.
- Comfortable working independently in a remote environment.
- Detail-oriented, proactive, and solutions-driven approach.
- Background or interest in pharmacy, healthcare training, or education is an advantage.
