Job Responsibilities
1. Oversee full administrative management of the Jordan office and other offices across the MENA and Gulf region, including office maintenance, supply procurement, asset inventory, fixed asset management, and daily office supplies allocation to ensure smooth and efficient operations.
2. Manage office infrastructure and equipment on a daily basis (e.g., internet, utilities, HVAC, cleaning), coordinating with building management and external vendors to ensure timely service.
3. Assist in organizing and coordinating company meetings and internal events, ensuring venue setup, catering, and logistical support are in place.
4. Provide comprehensive logistical support for visiting colleagues and guests, including reception, transport, accommodation, visa arrangements, and other requirements.
5. Support employee business travel, including booking flights, accommodation, transport, and preparing reimbursement documentation.
6. Manage vendor relationships, including landlords, apartment management, catering providers, and vehicle service suppliers, ensuring contracts are fulfilled and service quality is regularly reviewed.
7. Prepare and submit monthly administrative budgets and payment requests on time in accordance with contracts, ensuring compliance and cost control.
8. Establish and improve administrative systems and processes to promote standardization and enhance overall service efficiency.
9. Assist HR with onboarding and offboarding processes, including workstation setup, access card management, and distribution of employee benefits.
10. Perform other administrative duties and special projects as assigned by the company or management.
Requirements
1. Bachelor’s degree or above, preferably in Administration, Business Management, or a related field.
2. Minimum 2 year of relevant corporate office administration experience; experience in multinational companies or medium-to-large enterprises preferred.
3. Excellent command of English, both spoken and written.
4. Strong proficiency in MS Office Suite and related office management systems.
5. Strong organizational, communication, and problem-solving skills, with the ability to work independently.
6. Proactive, highly responsible, and self-driven, with the ability to remain efficient under pressure.
7. A positive team player, fast learner, and adaptable to dynamic work environments.
