Role Description
We are looking for a proactive and highly organized Administrative Executive to join our team in Amman. This is a full-time, on-site role. The Administrative Executive will play a key role in ensuring the smooth operation of the center by managing administrative tasks, leading the reception team, and overseeing HR functions. This role includes scheduling, communication, logistics coordination, staff management, and maintaining high standards in client and employee support.
Key Responsibilities
- Supervise the reception team (2 staff members), ensuring professional and efficient front-desk operations
- Manage client schedules, coordinate sessions, and communicate with families
- Maintain accurate, confidential client records and documentation
- Oversee general office administration including supplies, logistics, and facility maintenance
- Handle incoming/outgoing correspondence, calls, and emails
- Lead human resources functions:
- Maintain employee records and attendance
- Manage onboarding, contracts, and offboarding
- Track leave requests and coordinate payroll
- Support staff performance evaluation and training coordination
- Enforce internal policies, ethics, and code of conduct
- Assist in financial tasks such as invoicing, banking follow-up, and petty cash
- Prepare therapy materials, print and archive reports, and maintain organized filing systems
- Support marketing efforts and respond to messages on social media and work channels
- Coordinate events, workshops, and external visits
- Attend and document internal meetings, follow up on action items
Qualifications
- Proven experience in administrative, HR, or executive support roles
- Strong leadership and people management skills
- Excellent organizational and multitasking abilities
- Strong verbal and written communication in both Arabic and English
- Proficiency in Microsoft Office and digital tools
- High attention to detail and confidentiality
- Bachelor’s degree in Business Administration, HR, or related field preferred
