We are seeking a highly organized and proactive Office Manager to directly support the Oil & Gas CEO and oversee the full scope of executive office operations. The ideal candidate will demonstrate exceptional coordination, communication, and problem-solving skills, with the ability to manage multiple priorities in a fast-paced, high-pressure environment.

Key Responsibilities:
• Manage and optimize the CEO’s calendar, ensuring effective time management and prioritization of meetings and commitments.
• Coordinate and prepare executive-level reports, presentations, briefing notes, and meeting materials.
• Draft, review, and manage professional correspondence on behalf of the CEO.
• Act as the primary point of contact between the CEO and internal/external stakeholders, maintaining professionalism and confidentiality.
• Organize and coordinate high-level meetings, including board meetings, executive sessions, and external engagements.
• Prepare agendas, take minutes of meetings (MoMs), and follow up on action items to ensure timely execution.
• Handle complex travel arrangements (flights, visas, accommodation, itineraries) and ensure seamless execution of trips.
• Oversee office operations, ensuring efficiency, organization, and alignment with executive priorities.
• Maintain and manage confidential documents, records, and filing systems (physical and digital).
• Coordinate cross-functional communication between departments to support decision-making and project execution.
• Monitor deadlines, track progress on key initiatives, and proactively flag risks or delays.
• Support in organizing corporate events, workshops, and high-level visits.
• Liaise with external partners, vendors, and service providers when required.
• Ensure adherence to internal policies, governance standards, and executive protocols.
• Handle urgent and sensitive matters with discretion and sound judgment.
- Handle administrative tasks, including filing, archiving, organizing documentation, and maintaining proper backups.

Qualifications & Requirements:
• 3–5 years of experience in a similar role (Office Manager / Executive Assistant / PA).
• Bachelor’s degree in Business Administration or related field is preferred.
• Fluent in English and Arabic (written and verbal).
• Strong organizational, communication, and multitasking skills.
• Ability to work under pressure is a must.
• High level of discretion, professionalism, and attention to detail.
• Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).

• Experience in Oil & Gas, Construction, or Industrial sectors.
• Experience supporting C-level executives, preferably CEO level.
• Familiarity with corporate governance and executive office protocols.
