JOB SUMMARY
The Programs/Projects Officer will be responsible for supporting the implementation of IMC projects. This will include providing programmatic support to ensure the effective management and implementation of projects.
The Programs/Projects Officer works closely with field teams, support departments (Finance, HR, Logistics), sub-grantees, and external stakeholders to facilitate smooth program operations and ensure high-quality delivery of services.

MAIN TASKS AND RESPONSIBILITIES
Program design and support
Follow up on daily project activities to ensure high-quality, timely implementation in line with approved work plans and donor requirements.
Support the development and updating of HR plans, procurement plans, detailed workplans, and Indicator Performance Tracking Tables (IPTTs).
Contribute to the development of operational action plans and internal workflows to enhance coordination across teams.
Monitor project deliverables, track progress against targets, identify implementation bottlenecks, and propose corrective actions.
Support the organization of project kick-off meetings, mid-term reviews, and project closure meetings.
Register and follow up on new grants through the JORISS platform and ensure compliance with Government of Jordan (GoJ) requirements.
Prepare and submit GoJ-mandated reports in coordination with relevant departments.
Attend coordination and stakeholder meetings as assigned.
Follow up on tax exemption processes and related regulatory requirements.
Contribute to proposal development, including drafting narrative sections and compiling supporting documents.
Review and approve volunteers’ (IBVs) timesheets in line with allocated budgets.
Review consultants’ invoices to ensure alignment with contractual agreements and approved budgets.
Coordinate procurement request (PR) submissions with technical and field teams and follow up through completion.
Communications and Reporting
Prepare high-quality internal and donor reports (monthly, quarterly, interim, and final reports).
Support communication and media-related requests in coordination with the Communications team.
Develop presentations and briefing materials for internal meetings, donor sessions, and stakeholder engagements.
Build and maintain effective working relationships with NGO partners, sub-grantees, government counterparts, and other stakeholders.
Ensure accurate documentation and archiving of program records.
Budget Monitoring & Financial Oversight
Support the development and review of project budgets in alignment with technical plans and donor requirements.
Prepare financial projections and spending forecasts in coordination with the finance and program coordinator.
Monitor budget performance by comparing actual expenditures against approved budgets.
Identify potential under/over-spending risks and propose mitigation measures.
Ensure compliance with donor financial regulations and IMC internal policies.
Support preparation for internal and external audits.
Sub-Grant Management and Compliance
Act as a field-level focal point for sub-grant compliance and monitoring.
Monitor sub-agreements to ensure adherence to donor regulations and IMC compliance manuals.
Track sub-grantees’ financial and programmatic reporting deadlines.
Support follow-up on compliance issues, capacity gaps, and audit findings.
Maintain complete, accurate, and up-to-date sub-grant documentation.
Assist in pre-award assessments and risk mitigation processes.

MINIMUM QUALIFICATIONS
Bachelor’s degree in public health, business administration, development studies, international relations, or a related field. Equivalent experience may be considered.
Minimum 3 - 5 years of progressively responsible experience in an NGO or humanitarian setting
Relevant experience with humanitarian and development sector
Report writing
Good research skills
Understanding of international health and development
Demonstrates clear commitment to the organization’s vision and values in all aspects of work
Excellent organization skills
Excellent communication skills (written/oral)
Willingness to learn and apply new knowledge
Willingness to travel on up to 50% of the time may be required
Fluent in written and spoken English
