Position Overview:
The Operations Officer is the central hub for coordinating and executing international freight shipments. This role is responsible for managing the end-to-end process for air, ocean, and road freight, ensuring seamless communication between clients, carriers, and overseas partners. The ideal candidate is a proactive problem-solver with excellent organizational skills and a deep understanding of freight documentation and procedures.
Key Responsibilities:
Shipment Coordination & Execution:
· Plan, coordinate, and monitor the movement of shipments via air, ocean, and land freight.
· Book cargo space with airlines, shipping lines, and trucking companies.
· Prepare and issue critical shipping documents, including Bills of Lading, Air Waybills, House Manifests, and Commercial Invoices.
· Arrange pickup and delivery of cargo from origin to destination.
· Track and trace shipments in real-time, providing proactive updates to clients and stakeholders.
Customer Service & Communication:
· Serve as the main point of contact for clients, addressing inquiries and providing timely and accurate shipment status updates.
· Build and maintain strong, lasting relationships with customers, carriers, and agents.
· Proactively communicate any issues, delays, or changes to all relevant parties and work to resolve them efficiently.
Documentation & Compliance:
· Ensure all import/export documentation is accurate, complete, and compliant with international trade regulations (e.g., customs, hazardous materials).
· Coordinate with customs brokers and regulatory bodies to ensure smooth customs clearance.
· Verify and process vendor invoices and prepare customer invoices for accounting.
Data Management & Problem Solving:
· Accurately input and maintain all shipment data in the company's operating system.
· Identify potential operational challenges and implement effective solutions to minimize disruption.
· Analyze and optimize shipping routes and methods for cost and efficiency.
Qualifications & Experience:
· Required:
· High school diploma or equivalent.
. Knowledge using ASYHUB system
· Minimum of 2+ years of experience in a freight forwarding operations role.
· Solid understanding of end-to-end freight forwarding processes for air and ocean freight.
· Proficiency in preparing international shipping and customs documentation.
· Strong computer skills, including Microsoft Office Suite (especially Excel and Outlook).
· Preferred:
· Associate’s or Bachelor’s degree in Logistics, Supply Chain Management, or a related field.
· Experience with a major freight forwarding software (e.g., Cargowise, Magaya, Descartes Aljex).
· Knowledge of Incoterms 2020.
· Dangerous Goods Handling certification (e.g., IATA DG, IMDG Code).
