Project Description:
The primary project supported by this position is the consulting services agreement for planning, design and construction supervision of water and wastewater infrastructure of the Building Water Infrastructure (BWI) project.
Responsibilities
- Assist the senior leadership team in managing project calendars to meet the deliverables.
- Streamline the administrative tasks and execute project-specific tasks such as reviewing and formatting reports and memoranda, organizing documents, maintaining records and any other project tasks that will help the management team achieve project objectives.
- Review the quality of the reports and memoranda being produced to adhere to Project branding and marking requirements and review documents for English grammatical errors, flow, typos, and formatting inconsistencies before final submission or distribution.
- Compose, review, and send official correspondence and materials in English and Arabic under the direction of BWI project leadership.
- Proactively coordinate with the management team and task leaders to track internal and external deliverables and provide reminders at appropriate times. Create and maintain Excel-based files to track project timelines, deliverables, and communications.
- Organize and maintain document control activities including document storage, management, tracking, and reporting consistent with CDM Smith requirements/protocol.
- Proactively coordinate with the project management team and task leaders to schedule internal quality control and assurance checks in accordance with CDM Smith policies.
- Support the COP, DCOP and Design Manager in organizing and preparing for meetings including gathering documents and coordinating logistics with support from the Administrative or Marketing teams as appropriate.
- Provide other general project support duties as assigned by the Chief of Party.
Minimum Qualifications
- Bachelor’s degree in business administration, English language and literature , or related field.
- Minimum 12 years of relevant experience in supporting a dynamic project team.
- Previous experience in diplomatic and donor agency protocols.
- Excellent written, editing, proofreading, and oral communication skills in English and Arabic.
- Prior experience working as an executive assistant for senior leadership a multinational organization or with an engineering consulting firm, preferably with international development or diplomatic missions.
- Demonstrated success in fast-paced, dynamic project environment. Ability to work across various roles and teams in a proactive, dynamic, demanding, and fast-paced environment while remaining flexible, resourceful, and efficient.
- Strong time management and proactive problem-solving skills and ability to multitask and organize and coordinate multiple concurrent projects.
- Previous experience in developing internal processes and filing systems.
- Strong communication, interpersonal, and organizational skills.
- Excellent computer skills including in Microsoft office.
- Must be a Jordanian citizen or have legal work authorization to work in Jordan.
- Demonstrated ability to manage sensitive information with discretion and professionalism.
