Overall Objective
Under the direct supervision of the Grants Manager, the Partnership Supervisor will play a key role in supporting the consolidation, contractualization and strengthening of relationships with local partner organizations. Your focus will be on facilitating process harmonization (due diligences, contractualization) and ensuring compliance with PUI and donor requirements. You will work closely with the partnership officers at base level and the focal points in each department, coordinating technical and operational aspects to maintain an effective and trusted partnership. In addition, your main tasks will include following up on the processes that make up the partnership cycle, harmonizing documentation and processes to ensure partnerships, providing support in project negotiation processes and developing, together with the team, the processes of training and exchange of best practices among partners. You will play a key role in ensuring smooth communication with partners throughout the entire partnership process (due diligence, contractualization, progress follow-up, financial follow-up, capacity building planning, lessons learned from the collaboration)
Tasks And Responsibilities
- Follow-up of the PUI Partnership Cycle:
Ensure a detailed follow-up of the PUI partnership cycle with local partners by regularly updating the partnership follow-up tool and ensuring that all steps in the process are respected and completed efficiently.
Standardize partnership cycle documents and processes to ensure effective collaboration, while ensuring all materials are properly archived following PUI’s archiving procedures.
Provide support during the negotiation process and assist in managing the relationship with the partners.
- Support in Evaluations and Partner Selection and Contractualization:
Assist in verifying the information provided by local partners during the selection and assessment process.
Provide active support in negotiations and development of partnership agreements.
Contribute to due diligence assessments, contractualization and organizational capacity-building for current and potential local partners.
- Coordination of Strengthening Activities and Reporting:
Contribute to the development of a tailored capacity-building plan for each partner, assessing and identifying their reinforcement needs.
Ensure effective follow-up with PUI Partnership Officers in the field to guarantee the proper implementation of activities, monitor the quality of partner execution, and ensure PUI receives regular, comprehensive updates on partner progress across both programmatic and support components of the project.
Support managers in adapting and developing new interventions with local partners and assist in documenting lessons learned from each partnership to strengthen PUI's overall partnership capacity.
- Program Development Support:
Coordinate the development of tools with other coordinators, share them with partners, and ensure a clear understanding of the tools.
Assist in ensuring that previous PUI lessons learned with local partners are integrated into future PUI programming.
Provide technical assistance and practical support in the design of documentation and processes necessary for the inclusion of local partners in projects and interventions.
Ensure local partners are fully integrated into and actively participate in the Response Strategy, working closely with PUI on new projects and proposals. Guarantee that partners are informed and consulted at each stage of the proposal process.
- Contribution to Localization and Partnership Strategies:
Integration of localization practices in the mission.
Collaboration in the planning and execution of localization strategies with local partners.
Support in adapting projects and proposals to reflect local needs and contexts.

Required Profile
Required Knowledge and Skills
TRAINING
- Professional studies (bachelor's degree, postgraduate or master's degree desirable) in Law, Public Administration, Political Studies, Social Sciences and/or related subjects
- Specialization courses in project management Desirable background in humanitarian studies, human rights, development cooperation.
Professional Experience
At least 1 year of work experience in NGOs.
Experience in the partnership approach and capacity building of partner staff.
Demonstrable facilitation skills, including the ability to facilitate difficult conversations.
Demonstrable mentality and passion for continuous learning and process improvement.
Solid knowledge of administrative, logistical, financial and human resources procedures.
Sound knowledge of monitoring and accountability procedures for humanitarian programs.
Knowledge And Skills
Computer Skills: Office Pack, especially Excel/Word

Duration of the contract : 3 months (with potential extension depending on the funds)
