Position Summary: the general role for
PMO Operations Coordinator is to provide essential administrative and operational support to the Project Management Office
The PMO Operations Coordinator is responsible for supporting the operational backbone of the PMO by ensuring accurate documentation, smooth communication flows, and coordination across departments to enable effective project delivery.
Key Responsibilities & Authorities
- Manage and maintain PMO documentation, including templates, procedures, process flows, checklists, and trackers
- Coordinate and follow up on PMO-related meetings, including preparation of agendas, taking minutes, and tracking action items to completion
- Prepare and distribute routine PMO reports and dashboards using standardized formats
- Support the execution and tracking of stage-gate documentation to ensure timely reviews and approvals
- Maintain a centralized repository for project documents and ensure consistent version control.
- Assist in handling internal PMO service requests and documentation inquiries from other departments
- Compile project performance metrics provided by relevant stakeholders and assist in formatting or integrating them into PMO reports and dashboards
- Follow up with project teams to support timely submission and completeness of documentation in alignment with PMO processes.
- Collaborate with the PMO Director and other PMO Specialists to support internal initiatives, training, or process improvements.
- Act as document controller for key project records and PMO-led evaluations.
- Provide administrative support for PMO-related events, inductions, or audits
- Execute any additional administrative and coordination duties as requested by the PMO Director
Skills/Experience
- Education: Bachelor’s degree in Business Administration, Project Management, Engineering, or a related field is preferred
- 3–5 years of experience in project coordination, project administration, or PMO support roles
- Experience in project-based environments such as Oil & Gas, Engineering Services, or Industrial Projects is preferred
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), SharePoint, and document management tools
- Familiarity with project management principles and PMO functions is a strong asset
- Certification in CAPM (Certified Associate in Project Management) or PRINCE2 Foundation is an advantage
Fluent in English; additional languages are a plus.
Physical and Mental Requirements:
- Lifting and Carrying: Ability to lift and carry up to 50 pounds
- Mobility: Must be able to walk and climb to perform duties, including maneuvering within a refinery or plant environment and accessing elevated platforms via ladders and stairwells
- Communication: Sufficient clarity of speech and hearing, or other communication capabilities, to communicate effectively
- Focus and Multitasking: Ability to maintain focus and multitask effectively
- Safety Equipment: Must be able to wear safety equipment as required by the safety department for personal protection, if/where needed in manufacturing environments.
- Personal Mobility and Reflexes: Sufficient personal mobility and physical reflexes, with or without reasonable accommodations, to perform office duties and travel to off-site locations when necessary
