Job Description
As an Executive Operations Assistant, you will provide high-level administrative and operational support to theOperations Manager, ensuring the smooth execution of daily tasks and strategic initiatives. This role requires a strong technical skillset, organisational expertise, and the ability to coordinate cross-functional operations efficiently.
Key ResponsibilitiesAdministrative & Communication Support:
- Manage the executive’s calendar, schedule meetings, and coordinate travel arrangements.
- Handle confidential correspondence, emails, and documents with discretion.
- Prepare reports, presentations, and operational documents.
- Maintain records, meeting minutes, and ensure proper documentation of decisions.
Operational & Technical Support:
- Assist in overseeing workflow automation and operational efficiency tools.
- Work with Notion, Zoho, and other digital management platforms to track tasks, projects, and performance.
- Generate and analyze reports from CRM and ERP systems to support decision-making.
- Ensure proper documentation and compliance with internal Standard Operating Procedures (SOPs).
Project & Process Coordination:
- Support operational and strategic projects by gathering data, conducting research, and preparing summaries.
- Coordinate with internal teams and external stakeholders to streamline processes.
- Oversee task follow-ups, deadlines, and priorities to ensure efficient workflow.
HR & Team Support:
- Assist in recruitment coordination, onboarding, and performance tracking.
- Monitor training schedules and employee development programs.
Qualifications & Skills- Bachelor's degree in Industrial Engineering, Human Resources, or a related field.
- 3+ years of experience in executive support, operations, or a similar role.
- Technical proficiency in Notion, Zoho, Microsoft Office (Excel, PowerPoint, Word), and project management tools preferred.
- Experience working with CRM and ERP systems for reporting and data analysis.
- Excellent written and verbal communication skills in Arabic and English.
- Strong organisational, multitasking, and problem-solving skills with attention to detail.
- Ability to handle sensitive information with confidentiality and professionalism.
