Role Summary
We are seeking an Administrative Assistant to support the daily operations of our HR & Administration team. The Administrative Assistant will be involved in a wide range of support activities while ensuring that the office needs in Amman are met.
What Will You Do?
- Manages the day-to-day functioning of the Amman office;
- Liaises with vendors and orders, receives, and distributes office supplies;
- Updates office calendar daily to provide an overview of staff activities;
- Maintains employee files and HR databases to ensure information is accurate and available;
- Monitors employees’ leaves and attendance and provides reports as needed;
- Compiles, updates, and communicates public holidays and office closures;
- Manages the setup of new offices and/or office moves when needed;
- Ensures all HR and Admin practices are compliant with local labour laws and regulations and updates the HR & Admin Manager of any changes;
- Organises travel, accommodation, transport, and meetings for team members;
- Organises team building activities;
- Visits government ministries, embassies and notary publics as needed; and
- Participates in special projects on an office, department, or firm level, as and when necessary.
What Are We Looking For?
- Minimum 3 years of experience as an Administrative Assistant, or in a relevant human resources/administrative role;
- Excellent written and spoken Arabic and English;
- Bachelor’s degree in a business-related discipline; and
- Experience using ERP systems, and proficient in Microsoft Office programs including Excel and PowerPoint.
