Job Title: HR Officer

Role Overview
The HR Officer is responsible for supporting daily human resources activities, maintaining accurate employee records, and assisting with recruitment, onboarding, attendance, leave, and employee administration. The role supports the HR team in ensuring that processes are completed accurately and in accordance with company policies and applicable regulations. This position is suitable for fresh graduates looking to start a career in human resources and gain practical experience in a structured environment.
Key Responsibilities
- Maintain accurate and up-to-date employee records in KayanHR, and other HR systems
- Organize and upload employment contracts, identification documents, certificates, and other employee records
- Assist with employee onboarding, orientation, probation follow-up, transfers, and offboarding processes
- Prepare standard HR letters, certificates, forms, and internal correspondence under supervision
- Monitor employee attendance, leave, lateness, and working-hour records
- Follow up with employees and department heads regarding missing attendance records and pending leave requests
- Assist in preparing monthly attendance and leave reports for payroll processing
- Collect and verify payroll-related information, including unpaid leave, overtime, allowances, and deductions
- Support recruitment activities, including posting vacancies, screening applications, scheduling interviews, and communicating with candidates
- Maintain recruitment trackers and update the status of open vacancies
- Assist in preparing offer letters, employment contracts, and new-hire documentation
- Coordinate the collection of documents required for visas, work permits, medical insurance, and other employment procedures
- Monitor the expiry dates of employee documents and follow up on required renewals
- Assist in monitoring probation periods and coordinating performance evaluations with department heads
- Respond to routine employee inquiries regarding HR policies, attendance, leave, benefits, and company procedures
- Support the implementation and communication of HR policies and procedures
- Assist in organizing employee training, engagement, and recognition activities
- Maintain confidentiality when handling employee records and sensitive personal information
- Coordinate with departments to collect required information and resolve basic HR matters
- Prepare basic HR reports and trackers as requested
- Perform general administrative and HR support tasks as assigned
Qualifications & Requirements
- Bachelor’s degree in Human Resources, Business Administration, or a related field; fresh graduates are encouraged to apply
- Basic understanding of human resources principles and practices
- Basic knowledge of labor regulations is an advantage
- Familiarity with Microsoft Office, particularly Excel and Word
- Willingness to learn and develop practical HR knowledge
- Strong attention to detail and accuracy
- Good organizational and time-management skills
- Good written and verbal communication skills
- Ability to maintain confidentiality and handle sensitive information professionally
- Good teamwork and interpersonal skills
