Context
The United Nations Development Programme (UNDP) supports Yemen’s transition across the humanitarian-development-peace nexus by promoting governance, peacebuilding, economic recovery, climate resilience, and sustainable development. Through its programmes, UNDP works to restore livelihoods, strengthen resilience, and create opportunities for vulnerable populations, particularly women and youth. The UNDP Yemen Country Office is supported by its Amman Liaison Office (ALO), which provides essential programme, partnership, operational, and administrative support. The Administrative, Operations and Logistics Support Officer will play a key role in ensuring the smooth functioning of ALO operations by coordinating administrative processes, logistical arrangements, financial support, procurement follow-up, and staff services for personnel rotating through or transiting via Amman.
Description of duties
- Provide administrative support for meetings, conferences, retreats, and senior management activities.
- Coordinate hotel reservations, airport transportation, visa processing, residency renewals, and staff access arrangements.
- Maintain office assets, stationery supplies, attendance records, and staff information.
- Serve as focal point with security services, telecommunications providers, and regional hub counterparts.
- Organize and manage logistics for workshops, conferences, meetings, and missions, including venue selection, travel arrangements, catering, and technical requirements.
- Support financial processes, including petty cash management, invoice verification, payment documentation, and follow-up with finance teams.
- Assist procurement activities by obtaining quotations, coordinating with suppliers, and monitoring delivery of goods and services.
- Manage dispatch and pouch services, including receipt, storage, tracking, and delivery of documents, assets, and UN travel documents.
- Maintain asset inventories and prepare periodic asset and administrative reports.
Profile requirements
- Bachelor’s degree in Business Administration, Public Administration, Supply Chain Management, Logistics, or a related field.
- Minimum 3 years of experience in administration, operations, logistics, or office management; experience with the UN or international organizations is an asset.
- Strong organizational, coordination, reporting, and communication skills.
- Proficiency in Microsoft Office applications, database management, and digital office systems; ability to learn UNDP platforms such as Quantum and UNall.
- Excellent interpersonal skills and ability to work effectively in multicultural environments.
- Ability to manage multiple priorities, meet deadlines, and work independently with minimal supervision.
- Strong attention to detail, professionalism, and security awareness.
- Fluency in Arabic and English is required.
