Job Objectives
To provide dedicated HR coverage during night shifts by acting as the primary HR Point of Contact (POC) for employees and operations, ensuring that HR requests, attendance, shifts, employee concerns, incidents, and administrative matters are properly managed, monitored, resolved, or escalated in line with company policies. The role is responsible for maintaining HR visibility and control throughout the night and providing a complete handover to the day HR team.
Responsibilities And Duties
- Night Shift HR Operations & POC
- Act as the primary HR Point of Contact (POC) for employees and operational teams during the night shift.
- Be present and available during assigned night hours to receive, assess, coordinate, and close HR requests and concerns.
- Serve as the HR representative on the night shift and stay aware of significant employee, attendance, operational, and HR matters.
- Monitor the HR situation during the night and identify issues requiring intervention, escalation, or day-team follow-up.
- Ensure no critical HR request, employee concern, or incident remains unattended at the end of the shift.
- Attendance, Shifts & HRMS Control
- Monitor and manage attendance, absenteeism, leaves, late arrivals, early departures, and related HRMS records for night-shift employees.
- Maintain accurate employee shifts in the HRMS and identify discrepancies or coordinate corrections with the relevant team.
- Adjust approved shifts, approval cycles, reporting lines, and other HRMS configurations within assigned authority.
- Ensure the accuracy and integrity of employee data, attendance records, and shift information.
- Employee Requests & Night Shift Support
- Handle employee requests related to HR, attendance, leave, HRMS, employment documents, badges, shifts, and other administrative needs.
- Provide accurate guidance based on HR policies and escalate matters outside assigned authority to the appropriate HR manager.
- Handle employee concerns professionally and confidentially, with proper documentation and follow-up.
- Coordinate with Operations Team Leaders, Supervisors, and Managers to resolve night-shift issues while maintaining HR standards.
- Night Shift Incident Management & Escalation
- Receive and document night-shift HR incidents, including employee disputes, misconduct concerns, attendance issues, and other matters requiring HR attention.
- Assess incident urgency and impact and immediately escalate critical matters to the designated HR/Operations contact.
- Coordinate with Security, Facilities, IT, Operations, and other relevant functions when cross-functional support is required.
- Maintain clear records of incidents, actions taken, pending actions, and required management follow-up.
- HR Administration & Employee Services
- Maintain digital and physical employee files and ensure documentation is accurately recorded and safeguarded.
- Issue approved HR letters and employment documents within delegated authority.
- Support onboarding and offboarding activities when required during the night shift.
- Coordinate employee badges, access-related HR requests, lost and found, parking, and other assigned administrative services.
- Support approved HR communications and announcements during the night shift when required.
- Confidentiality, Compliance & Professional Conduct
- Handle employee information and HR records with strict confidentiality and in accordance with company policies and applicable requirements.
- Ensure all actions and decisions follow approved HR procedures and delegated authority.
- Maintain professional conduct and act as a trusted HR representative during the night shift.
- Other Duties
- Perform other HR administrative and operational duties assigned by HR management to support business continuity and employee experience.
Qualifications
- College / Bachelor’s degree in Business Administration, Human Resources, Office Management, or a related field.
- Experience in HR administration, employee services, attendance management, or administrative operations in a fast-paced environment.
- Working knowledge of HRMS systems and attendance/leave management processes.
- Ability to work independently during night shifts with limited immediate HR supervision.
- Basic understanding of HR policies, employee relations, and workplace procedures.
Years Of Experience
2–3 years in HR administration, HR operations, employee services, office administration, or a similar role.

Employment Type
Working Days
- Monday to Friday (Night shift: 6 PM onwards)
- 6th day: Based on need, managed fairly based on priorities and urgency
