Key ResponsibilitiesExecutive Support
- Manage the CEO’s calendar, meetings, travel, and priorities.
- Act as the primary point of coordination between the CEO and all departments.
- Organize and document meetings, decisions, and action items.
Project & Operations Management
- Maintain a master dashboard for all ongoing projects in Saudi Arabia and Jordan.
- Follow up daily with department heads on deliverables, deadlines, and project status.
- Track critical business activities including sales, operations, recruitment, finance, and procurement.
- Escalate delays, risks, and unresolved issues directly to the CEO.
- Ensure accountability and execution across all departments.
Business Coordination
- Coordinate communication between internal teams, clients, suppliers, and partners.
- Monitor recruitment activities, onboarding, and staffing requirements.
- Follow up on contracts, invoices, collections, and critical administrative tasks.
- Prepare weekly and monthly management reports.
CEO Productivity Management
- Convert CEO ideas, voice notes, and discussions into actionable tasks.
- Prioritize tasks and maintain a structured follow-up system.
- Ensure important commitments are completed on time.
- Create daily, weekly, and monthly action plans for the CEO.
Required SkillsEssential
- 5+ years experience as Executive Assistant, Chief of Staff, Project Coordinator, or Office Manager.
- Strong project management and task-tracking skills.
- Exceptional organizational and follow-up abilities.
- Ability to manage multiple projects simultaneously.
- Strong written and verbal communication skills in Arabic and English.
- High level of confidentiality and professionalism.
Technical Skills
- Microsoft Office (Advanced).
- Google Workspace.
- Project Management Tools (Asana, ClickUp, Monday, Notion, Trello, or similar).
- CRM experience (Odoo preferred).
- Report preparation and dashboard management.
