Job Description:
At EFS Facilities Services, we are looking for a highly organized and proactive Project Administrator / Project Coordinator to support project operations by managing documentation, coordination, reporting, scheduling, and follow-up activities across project teams in Jordan. This role is critical in ensuring smooth project administration, effective communication between stakeholders, timely tracking of deliverables, and operational support across project-based service environments.
🔍 Role Overview
The Project Administrator / Project Coordinator will be responsible for providing administrative and coordination support to project teams by managing project documentation, schedules, correspondence, reports, records, and cross-functional communication. This role requires a detail-oriented and highly organized professional with strong coordination, reporting, and follow-up capabilities to ensure project activities are tracked, actions are completed, and operational teams remain aligned in fast-paced project environments such as facilities management, waste management, logistics, construction, or service operations.
🧩 Key Responsibilities
- Provide day-to-day administrative and coordination support to project teams to ensure smooth project execution and operational continuity
- Manage project documentation, records, reports, correspondence, meeting minutes, schedules, and filing systems in an organized and accurate manner
- Coordinate project activities and follow up on action items, deliverables, deadlines, and pending tasks to ensure timely completion
- Support communication and coordination between project teams, operations, support functions, vendors, and stakeholders
- Prepare and maintain project trackers, status reports, dashboards, schedules, and performance updates for management review
- Assist in monitoring project timelines, milestones, and deliverables to ensure adherence to project plans
- Organize meetings, prepare agendas, document minutes, and follow up on action points to ensure closure of project tasks
- Support preparation of project presentations, reports, correspondence, and administrative documentation using Microsoft Office tools
- Maintain accurate project records, filing systems, document control registers, and administrative databases
- Track project-related requests, approvals, documentation submissions, and operational updates across departments
- Coordinate with finance, procurement, HR, logistics, and operations teams for project-related support and documentation requirements
- Ensure project documentation and records comply with company standards, audit requirements, and operational procedures
- Assist in preparing periodic operational and project reports, data summaries, and management presentations
✅ What We’re Looking For
- 2–5 years of experience in project administration, project coordination, operations support, or administrative roles, preferably in facilities management, waste management, logistics, construction, project-based operations, or service environments
- Strong experience in documentation management, reporting, project tracking, scheduling, and cross-functional coordination
- Proven ability to manage multiple tasks, deadlines, and follow-up actions in fast-paced project environments
- Hands-on experience in preparing reports, maintaining trackers, filing systems, meeting minutes, and project documentation
- Strong coordination skills with the ability to communicate effectively across departments and stakeholders
- Good knowledge of project follow-up, deliverable tracking, issue escalation, and task coordination
- Strong problem-solving, planning, and organizational capabilities with high attention to detail
- Excellent proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook) and reporting tools
🎓 Educational Qualifications
- Diploma or Bachelor’s degree in Business Administration, Office Management, Project Management, Engineering, or related field
- PMP certification or project management training will be an added advantage
