About the Role
The Administrative Assistant will be responsible for providing comprehensive administrative and office management support to the Country Manager and the Jordan office. The role ensures the smooth day-to-day operations of the office through effective coordination, organization, and communication. The position requires a high level of professionalism, attention to detail, and the ability to manage multiple priorities in a fast-paced industrial environment.

Responsibilities
- Manage telephone operations, including incoming and outgoing calls, scanning documents, and handling general office communications.
- Act as the main point of contact for the Country Manager, providing full administrative and office management support, including scheduling appointments, coordinating meetings, and preparing reports.
- Organize and coordinate internal and external meetings, including preparation of agendas, meeting rooms, and related logistics.
- Oversee general office operations and requirements, including office layout, maintenance, office supplies and inventory, equipment management, utilities, and miscellaneous errands.
- Prepare daily, weekly, monthly, and annual administrative and management reports, including collecting and consolidating reports from other departments.
- Manage office petty cash, expenses, and administrative-related payments in accordance with company policies.
- Support in-house and off-site activities such as company events, exhibitions, conferences, and corporate celebrations.
- Maintain organized document control and filing systems (both electronic and hard copy) to ensure confidentiality and easy retrieval.
- Prepare, issue, and track official correspondence, letters, memos, and other administrative documents.
- Coordinate incoming and outgoing couriers (e.g., DHL, TNT, Aramex, and other regional providers), including the dispatch of customer samples.
- Manage medical insurance administration, including employee enrollments, approvals, and reimbursement claims.
- Coordinate the printing and distribution of business cards, letterheads, and other branded stationery.
- Manage and coordinate all travel arrangements, including hotel bookings, flight tickets, car rentals, and leisure travel, by negotiating rates and supporting corporate travel agreements.
- Liaise with external service providers, government entities, and vendors as required to support office and administrative operations in Jordan.
Requirements
- Bachelor’s Degree in a relevant field.
- Minimum of 5 years’ experience in general administration or office management.
- At least 1 year of experience within the industrial or chemicals sector.
- Excellent command of English with strong professional and business communication skills; Arabic proficiency is an advantage.
- Strong knowledge of office management systems, procedures, and standard administrative practices.
- Proficiency in Microsoft Office applications, particularly MS Excel and MS PowerPoint.
- Excellent time management skills with the ability to prioritize tasks and meet deadlines.
- High attention to detail with strong problem-solving abilities.
- Strong organizational skills with the ability to multitask and work independently.
- Professional demeanor with the ability to interact effectively with management, staff, clients, and external stakeholders.
