Job Brief:
The
Permit Issuance Support Officer (Data Entry) will support the Operations team in managing the end-to-end driver permit issuance process in coordination with the Land Transport Regulatory Commission (LTRC).
This role is primarily focused on
data entry, document verification, tracking applications, and operational follow-ups to ensure permits are issued accurately, on time, and in full compliance with regulatory requirements.
Key Responsibilities:
- Collect driver applications and required documents through online forms and in-person submissions.
- Verify driver eligibility and ensure all submitted documents are complete, valid, and compliant.
- Scan, organize, and file driver documents accurately using assigned queue numbers.
- Update and maintain permit tracking sheets (waiting lists, summaries, and related records) with high accuracy.
- Manually submit driver permit applications on the LTRC platform with correct data and documentation.
- Monitor application status and identify any missing information, delays, or blocking issues.
- Follow up with drivers regarding pending payments after issuing payment reference numbers.
- Prepare final confirmed lists of paid drivers and coordinate with LTRC via email for permit issuance.
- Support permit collection, review issued permits for accuracy, and report any discrepancies.
- Assist with driver activation on internal systems (Cockpit) and preparation of driver stickers.
- Communicate clearly with drivers regarding application status and permit readiness.
- Ensure full compliance with LTRC regulations and internal SOPs at all times.
Requirements
- Diploma or Bachelor's degree in Business Administration, Operations, or a related field (preferred but not mandatory).
- Strong attention to detail and accuracy when handling data and documents.
- Basic to intermediate proficiency in Excel or Google Sheets for tracking and reporting.
- Ability to manage manual processes and handle high volumes of applications efficiently.
- Good communication skills to interact with drivers and internal teams.
- Strong organizational skills and ability to manage multiple tasks simultaneously.
- Willingness to learn regulatory procedures related to LTRC permit issuance.
- Good time management skills and ability to meet deadlines
