About The Role
The Translation and Administration Assistant provides core operational support to the programme team by delivering accurate bilingual translation and managing day-to-day administrative tasks that ensure compliance with donor requirements and ARK procedures. The role is central to maintaining the quality of project documentation, supporting effective communication with national counterparts, and ensuring that all records are organised, accessible, and aligned with Global Affairs Canada (GAC) standards.
The post-holder will translate a wide range of project materials from English to Arabic and vice versa, including reports, correspondence, training content, agendas, minutes, and technical documents. In parallel, they will assist with project administration, including filing, document control, preparation of deployment packages, support to procurement documentation, and basic data entry for monitoring and learning purposes. The position requires close coordination with the Project Manager, Logistics and Procurement Officer, finance support, technical Subject Matter Experts, and ARK's internal support functions.
The role reports to the Project Manager and works as part of the programme delivery team based in Amman, with regular interaction with ARK's support functions.
What You'll Be Doing
- Translation and Documentation
- Translate project documents, reports, training materials, schedules, presentations, and official correspondence between Arabic and English, ensuring accuracy, contextual appropriateness, and the correct use of technical terminology.
- Translate and format professional communication for key stakeholders, including PSD, AND, SFC, and other government counterparts, in a manner consistent with diplomatic and technical standards.
- Maintain a well-organised archive of translated materials within the shared project folders, ensuring version control, consistent naming conventions, and accessibility for the project team.
- Support the preparation of bilingual outputs for meetings, trainings, and reporting, including agendas, participant lists, and certificates.
- Administrative and Logistical Support
- Draft formal letters, memos, agendas, and meeting minutes in Arabic and English, ensuring professional language and correct formatting.
- Coordinate logistics for meetings, field visits, trainings, and related activities, including preparation of materials, stationery, printing, and onsite support.
- Liaise with printing vendors to ensure timely production of training materials, certificates, and other project documentation in Arabic and English.
- Track timelines and administrative deliverables, maintain the filing system, and ensure document version control in line with ARK and GAC standards.
- SME and Interpreter Management
- Support the Project Manager with the deployment, contracting, and administrative tracking of Subject Matter Experts (SMEs) and interpreters.
- Coordinate logistics for deployments, including insurance coverage, flight bookings, ground transport, accommodation, and invoice processing.
- Maintain up-to-date day tracking logs and liaise with SMEs and interpreters to confirm assignments, schedules, and documentation requirements.
- Ensure timely submission and tracking of deployment-related documentation, including invoices, timesheets, and Requests for Reimbursement (RFRs).
- Coordination and Stakeholder Engagement
- Act as a liaison between the programme team and national stakeholders including PSD Diwan, AND, and JAF/SFC, as directed by the Project Manager.
- Schedule, attend, and document stakeholder meetings, tracking action points and ensuring follow-up within agreed timelines.
- Coordinate project correspondence and logistical arrangements for field activities, visits, and training sessions, including travel, accommodation, and venue support.
- Procurement Support
- Work closely with the Procurement Officer on logistics, vendor engagement, and tracking of procurement activities.
- Assist in preparing documentation and requirements for low-risk or low-value procurements in line with GAC procedures.
- Monitor procurement timelines to ensure delivery aligns with the programme's activity schedule and operational needs.
- Support accurate filing of procurement documents, including quotations, invoices, GRNs, and handover forms.
- Internal Project Coordination
- Take minutes during weekly team meetings, record decisions, and track follow-up actions.
- Maintain internal project tools, including contact lists, calendars, trackers, and shared folders, to support efficient teamwork.
- Provide support to MEL activities, including accurate record-keeping of attendance sheets, pre/post-tests, and feedback forms, as well as contributions to case studies, research notes, and presentation materials.
- Confidentiality and Data Protection
- Handle all sensitive information and project documents in accordance with ARK data protection policies and confidentiality protocols.
- Ensure that all documents containing personal data or operational information are stored securely and shared only with authorised personnel.
- Additional Duties
- Undertake other tasks as assigned by the Project Manager or senior staff to support effective and efficient delivery of the programme.
Requirements
Essential:
- Bachelor's degree in translation, linguistics, English language, or a related field
- Professional fluency in Arabic and English, both written and spoken
- Demonstrated experience in translation and/or administrative support in a professional environment
- Strong computer literacy, including MS Office, file management, and document formatting tools
- Experience providing written translation and verbal interpretation in a professional setting
- Experience in administrative support, including document filing, meeting organisation, and minute-taking
- Experience working with documents that require accurate formatting, version control, and structured filing
- Ability to manage multiple tasks, deadlines, and administrative priorities in a fast-paced environment
- Strong cultural awareness and an ability to communicate with government stakeholders
Desirable:
- Certification or short training courses in translation, interpretation, or administration
- Training in document control and data management
- Exposure to donor-funded projects, especially security-sector or capacity-building programmes
- Experience supporting deployment coordination (travel bookings, documentation, onboarding)
- Experience working on projects funded by GAC or other international donors
- Experience supporting training activities, including attendance tracking, feedback forms, and data entry
- Familiarity with basic procurement documentation (quotations, invoices, GRNs)
- Experience supporting MEL activities (e.g., data collection, basic analysis, case studies)
