"This is to announce that Amman delegation has a vacancy for a Course Administrator at the Regional Learning & Development Unit in Amman, Jordan.
The Learning and Development Unit in Amman is one of 4 units worldwide delivering staff training within the ICRC, with a geographic remit that is regional. The Learning and Development Course Administrator ensures that the administration and logistics for all learning activities run smoothly. They provide all aspects of administrative, logistic and organizational support. They also support the trainers in the online facilitation and ensure the digital learning management for each course.
GENERAL DUTIES
Be aware of the LnD’s policies, objectives and activities at regional level.
Understand the three components of the Red Cross/Red Crescent Movement.
Adhere to the ICRC’S Code of Conduct at all times.
Apply the security rules at all times.
Respect and observe the staff regulations of the ICRC in Jordan.
The employee may be asked to perform other duties not covered in this job description as well as to provide support to other departments when and if necessary.
ACCOUNTABILITIES AND RESPONSIBILITIES
Participates in establishing the yearly course planner, in coordination with course facilitators.
Provides efficient and timely technical and administrative support to course participants and deliverers.
Manages the administrative support to ensure that courses run smoothly. Receives and processes applications, prepares and sends correspondence giving course details, prepares materials, programmes and content and collects assignments in accordance with the facilitators. Assists with all issues related to the organization and venue of courses.
Ensures the smooth running of events with the focus on the participant’s experience
Using the Learning Management System, creates sessions, registers participants, animates the forum and sends assessment questionnaires to session participants.
Works with the trainer to co-facilitate the digital learning support offered to participants for each programme
After the end of the course, processes invoices and conducts data validation and breakdown; records course completion in for each participant and enters statistical information.
When applicable, contact external providers (consultants, etc.) and provide timely administrative and logistic support to participants.
Maintains a coherent archiving system in collaboration with the Information Management Unit. Stores, maintains, retrieves and supplies information using both computerized and manual-based systems for all courses.
EDUCATION AND PROFESSIONAL EXPERIENCE REQUIRED
University or professional certification or equivalent work experience
Fluent command of English and Arabic; other
languages an asset.
Computer proficiency.
5+ years professional experience in an administrative or assistant role
Good knowledge of information systems, event organisation, finance and administration.
Knowledge of digital learning tools an asset.
