Job Summary:
We are seeking a highly organized and proactive Admin Assistant to provide comprehensive support to senior management and oversee day-to-day office operations. The role involves managing schedules, coordinating meetings and travel, handling correspondence, and ensuring smooth administrative functions. The ideal candidate will be detail-oriented, and able to manage multiple priorities efficiently in a dynamic environment.
The Ideal Candidate:
The ideal candidate is a detail-oriented and organized professional with strong multitasking and time management abilities. Proficient in MS Office and office management systems, they bring excellent communication and business writing skills, combined with professionalism.
Job Responsibilities:
- Manage senior managers’ calendars, appointments, and meetings.
- Oversee office administrative tasks including answering calls, handling requests, and managing correspondence (emails, and letters).
- Maintain proper filing, archiving, and document management systems.
- Monitor office supplies and inventory, process and approve supply orders.
- Organize invoices and coordinate with accountants for timely processing.
- Prepare and manage vacation documentation for senior managers and track vacation balances.
- Arrange logistics for meetings and events, ensuring facilities are well-equipped.
- Coordinate travel arrangements (flights, hotels, transportation) for senior managers and visitors.
- Manage visas, certifications, and renewal of personal papers (passports, residency, licenses, etc.).
- Follow up on shipments, suppliers, and company projects such as corporate gifts.
- Supervise and organize driver schedules and deliveries.
Job Requirements:
- Bachelor’s degree in Business Administration, Office Management, or a related field preferred.
- Proven 3-5 years of experience as an Administrative Assistant or in a similar administrative role.
- Strong computer literacy (MS Office Suite, email, scheduling tools).
- Excellent verbal and written communication skills in English.
- Ability to prioritize tasks, work under pressure, and meet deadlines.
