Overall Purpose Of The Role
The HR Officer will play a vital role in delivering HR support to Key Jordan and its clients. This role combines internal HR responsibilities along with other tasks related to outsourcing services provided to Key Jordan clients. The HR Officer will support the development, coordination, and execution of HR activities, ensuring compliance with HR policies, labor laws, and company standards.
Key Accountabilities
- Manage end-to-end HR operations for assigned clients, ensuring full compliance with Jordanian Labor Law and Social Security regulations.
- Prepare, issue, and maintain employment contracts, onboarding documents, annexes, and contract renewals.
- Maintain accurate employee records, personal files, leave balances, and attendance logs.
- Process monthly payroll: salary entries, deductions, overtime, allowances, taxes, and social security submissions.
- Coordinate with finance teams on payroll approvals, payments, and reconciliations.
- Ensure timely registration and de-registration of employees with Social Security and relevant authorities.
- Act as the primary HR focal point for outsourced employees and client inquiries.
- Handle employee relations topics, escalate issues, and ensure fair and timely resolution.
- Manage administrative tasks such as medical insurance enrollment, documents tracking, NOCs, letters, IDs, reservations, meeting arrangements and HR correspondences.
- Support clients with day-to-day HR requests, documentation, and compliance-related procedures.
- Coordinate onboarding schedules, orientation, training sessions, and exit procedures.
- Advertise job openings on relevant platforms and screen received applications.
- Conduct preliminary interviews and shortlist candidates based on client needs.
- Coordinate interviews and tests with clients and support in final selection.
- Prepare offer letters, employment proposals, and onboarding documentation for selected candidates.
- Support HR project plans including HR gap analyses, SOP development, HR audits, and workforce planning.
- Assist in designing grading structures, compensation frameworks, salary benchmarking studies, and HR policies.
- Collect and analyze HR data to support strategic recommendations for clients.
- Participate in developing HR manuals, performance management frameworks, and organizational charts.
- Provide insights into compliance gaps, HR improvements, and operational enhancements.
- Serve as the professional HR representative for Key Jordan in all client interactions.
- Attend client meetings, prepare progress reports, and communicate updates clearly and professionally.
- Understand client business needs to provide tailored HR solutions.
- Ensure service excellence, responsiveness, and timely delivery of all HR tasks.
- Prepare daily, weekly, and monthly HR and payroll reports for clients and Key Jordan.
- Track KPIs, project timelines, employee statuses, and pending actions.
- Ensure all documents, approvals, and reports are archived and organized for audit readiness.
- Stay updated on changes in labor law, tax regulations, and HR best practices.
- Recommend automation tools, process improvements, and new service offerings.
- Maintain confidentiality, professionalism, and service quality always.
- Performs other related duties as directed by the direct Manager.
Requirements
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- 1-3 years of HR experience, including payroll processing, HR outsourcing, or a similar role.
- Strong knowledge of HR policies, payroll systems, and labor laws in Jordan.
- Previous experience in payroll processing, including familiarity with tax, social security, and other statutory requirements.
- Excellent communication and interpersonal skills.
- Ability to multitask and handle HR duties for multiple stakeholders (Key Jordan and clients).
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and payroll/HR software systems
