Job Description
The accountant is responsible for end-to-end processing of supplier invoices, ensuring timely and accurate payments, maintaining vendor reconciliations, managing petty cash, and overseeing bank transactions. This role ensures compliance with internal controls, company policies, and contract terms, while supporting month-end closing activities and maintaining strong relationships with suppliers and internal stakeholders.
Key Responsibilities
Invoice Processing & Payment Control
- Process supplier invoices in Oracle ERP with all required supporting documentation and necessary approvals.
- Ensure scanned supporting documents are attached to every transaction entry.
- Validate invoice compliance with contract terms, including deductions for retention and recovery of advance payments.
- Ensure correct accounting code is applied to each transaction.
- Ensure invoices without POs are processed only after approvals as per Delegation of Authority (DOA).
- Follow up with suppliers to reduce payment cycle times and prevent delays.
Vendor Management & Reconciliation
- Perform monthly reconciliation of supplier accounts, noting and reporting significant discrepancies.
- Notify suppliers of any un-reconciled balances or missing documents promptly.
- Ensure credit notes are accurately recorded to avoid balance mismatches.
- Provide monthly reconciliation and discrepancy reports.
Banking & Treasury Operations
- Monitor daily bank transactions (incoming and outgoing).
- Perform monthly bank reconciliations for all relevant bank accounts.
- Update and submit daily cash position reports to management.
- Manage petty cash under the finance department and reimburse other departments’ petty cash as needed.
- Handle daily petty cash transactions in line with company policy.
Fixed Asset & Prepayment Management
- Maintain an up-to-date register of fixed assets including purchases and disposals.
- Perform physical asset counts and update the fixed asset system accordingly.
- Calculate and post monthly depreciation in Oracle ERP.
- Maintain and update prepayment schedules, including journal voucher entries on a monthly basis.
Job Requirements
Education & Qualifications
- Bachelor’s degree in Accounting, Finance, or related field.
- Professional certifications (e.g., CMA, CPA, ACCA) are a plus.
Experience
- Minimum 1-2 years of relevant experience in accounts payable and treasury functions.
- Hands-on experience with Oracle ERP (AP, FA, GL modules preferred).
- Experience in vendor reconciliation and bank reconciliation processes.
Skills
- Strong knowledge of accounting principles and financial reporting.
- High proficiency in Microsoft Excel and financial systems.
- Strong communication and coordination skills.
