Executive Office Administrator to CEO
We are seeking a highly organized, warm, and dependable Executive Office Administrator to directly support the CEO in a small, fast-paced office environment.
This is a long-term role requiring full executive support, flexibility, professionalism, and strong organizational discipline.
The ideal candidate is structured, adaptable, service-oriented, and comfortable handling both administrative responsibilities and executive hospitality.
Key Responsibilities
Executive & Personal Coordination
- Manage the CEO’s full calendar (business and personal appointments)
- Coordinate meetings, reminders, and daily priorities
- Prepare daily office readiness for the CEO
- Provide full executive support and flexibility as required
Administrative & Operational Support
- Maintain structured digital and physical filing systems
- Perform accurate data entry across platforms (websites, Excel, documents, systems)
- Monitor online orders and coordinate with shop when needed
- Follow up to ensure tasks and deadlines are completed
- Maintain office organization and supply monitoring
Flexibility & Availability
- Assist with occasional logistical or personal coordination tasks
- Adapt to schedule changes and shifting priorities
- Support smooth daily executive operations
Hospitality & Guest Management
- Welcome visitors and maintain a professional and well-organized executive office environment
- Coordinate meeting arrangements, including room setup and appropriate refreshments for meetings
- Ensure daily executive readiness, including preparation of hospitality and office arrangements as required
- Support meetings by preparing materials, recording Minutes of Meeting (MOM), and tracking action items
Requirements
- University degree (required)
- Minimum 3 years relevant experience in administrative or executive support roles
- Strong clerical and organizational skills
- Proficiency in Microsoft Excel and Word
- Strong written and verbal communication skills (Arabic & English)
- Proven multitasking ability and attention to detail
This role requires flexibility. Responsibilities may extend beyond listed duties to ensure smooth executive and office operations.
