We are seeking a proactive and detail-oriented Admin Assistant to support HR operations and overall administrative functions. The role involves assisting with HR processes, recruitment coordination, medical insurance administration, procurement, travel management, facilities management, employee engagement, and liaison with government departments to ensure smooth day-to-day operations.
Key Responsibilities
- Support daily HR operations and provide administrative assistance to the HR team
- Maintain and update employee records (hard and soft copies)
- Assist with recruitment activities, schedule interviews, coordinate with candidates, and support onboarding and orientation
- Prepare HR documents and reports related to staffing, training, performance, and grievances
- Handle employee queries regarding HR policies and procedures
- Administer employee medical insurance, including enrollments, deletions, claims coordination, and liaison with insurance providers
- Support employee engagement activities and internal events
- Monitor office supplies, identify purchasing needs, research vendors, and negotiate pricing
- Track orders, maintain invoice and contract records, and prepare cost analyses
- Manage end-to-end travel arrangements including flights, hotels, and transport, and handle emergency changes professionally
- Oversee office facilities and maintenance to ensure smooth office operations
- Coordinate with various government departments and external agencies for compliance and administrative requirements
Qualifications & Skills
- Bachelor’s degree in Business Administration, HR, or related field
- 2–4 years of relevant experience in HR and administration
- Strong organizational and multitasking skills
- Good communication and interpersonal abilities
- Proficiency in MS Office
- Ability to handle confidential information with integrity
