Job Summary
A Clearance Operations Officer is responsible for handling customs clearance processes for imports and exports to ensure goods move smoothly across borders. The role involves preparing and reviewing shipping documentation, coordinating with customs authorities, shipping lines, airlines, and internal teams, as well as ensuring compliance with all applicable regulations. The officer plays a key role in facilitating efficient clearance operations and providing accurate support to customers and the clearance team.
Key Responsibilities
- Handle daily customs clearance procedures for imports and exports, ensuring compliance with Jordanian customs and all applicable regulations.
- Receive clearance inquiries and prepare timely quotations for customers and other departments as instructed by the supervisor/manager.
- Collect and verify shipping documentation such as invoices, bills of lading, packing lists, and customs declarations, and follow up with clients to provide any missing documents.
- Obtain delivery orders from shipping lines, airlines, and related entities, and coordinate accordingly with internal teams and customers.
- Enter clearance-related expenses into the system per job, ensuring accuracy and proper filing of supporting hard copies signed by the person in charge.
- Prepare, update, and submit required daily and periodic reports (finance, transportation, insurance, etc.) as directed by the supervisor.
- Coordinate with customers, suppliers, carriers, agents, and customs authorities to resolve issues or delays in the clearance process.
- Follow up with the finance department regarding payment of duties on behalf of customers according to agreed payment terms.
- Support Aqaba and Airport clearance teams in arranging delivery of shipments and keeping clients updated on status.
- Ensure that all quality procedures and company standards are applied while processing shipments.
- Assist in closing files on the system after verifying related data, ensuring profitability summaries are logical and align with department expectations.
- Handle detention invoices received from freight forwarders and shipping lines, ensuring timely processing and settlement.
- Collaborate with sales, customer service, and other internal departments to ensure seamless service delivery.
- Act as a backup for colleagues during their absence, as directed by the supervisor/manager.
- Perform any additional duties or tasks as required to support clearance operations.
