We’re seeking a highly organized, proactive, and dynamic Executive Assistant to support our Owner and Head of Sales, Faris, by managing priorities, enhancing productivity, and improving communication across the organization.
Job Purpose
This Executive Assistant role goes beyond traditional support functions—it's a high-impact, high-trust position designed to help Faris focus on growth, strategy, and leadership. You’ll coordinate day-to-day operations, manage the calendar, support recruiting and marketing efforts, and ensure tasks and priorities move forward with precision and follow-through.
Key Responsibilities
Executive & Sales Support
- Manage complex calendars, coordinate meetings, send invites, and ensure time is optimized for strategic activities.
- Prepare and send agendas, attend select meetings, take detailed notes, and track action items to ensure completion.
- Follow up with department heads and team members to gather reporting, confirm task completion, and push priorities forward.
Prospect & Recruiting Coordination
- Communicate with prospective loan officers or business partners to schedule meetings and ensure proper follow-up.
- Utilize Salesforce to manage prospect pipelines, enter meeting notes, and coordinate recruiting activities.
Presentation & Sales Material Support
- Assist in creating PowerPoint presentations, reports, and other visual aids for sales meetings, recruiting events, and executive updates.
- Coordinate with internal teams to gather needed content and polish deliverables before deadlines.
Project & Task Management
- Use Monday.com to track tasks and projects for leadership and cross-functional teams.
- Ensure deadlines are met, updates are communicated, and no action items fall through the cracks.
CRM, Gifting & Campaign Management
- Manage Salesforce workflows related to relationship management, including gifting and birthday campaigns.
- Partner with marketing to ensure outreach is consistent, personalized, and brand-aligned.
- Monitor campaign performance and coordinate follow-ups with sales and marketing.
Video, Podcast & Email Campaigns
- Assist in coordinating the weekly video and podcast production, working with Faris and the marketing team to plan content, schedule recordings, and ensure publishing across all platforms.
- Manage the content calendar, coordinate invites, and ensure deadlines are met for all creative assets.
- Collaborate with the marketing team to launch supporting email campaigns that promote new videos, podcast episodes, and relevant announcements.
- Track engagement metrics and ensure follow-up with leads or prospects generated from this content.
Travel & Event Planning
- Arrange travel logistics, accommodations, and itineraries for leadership events, recruiting trips, or conferences.
- Support planning and logistics for sales events, webinars, or off-site meetings.
Office Support
- Oversee and maintain office services by organizing office operations and procedures
- Evaluates and assist in developing office policies and procedures for improved workflow and anticipate future needs as organization grows.
- Assist in the selection of vendors and purchase equipment, services, and supplies necessary for operation of organization.
Qualifications
- Fluent in English is a must.
- Excellent time management skills and ability to prioritize your day to maximize the effectiveness of your time in the office
- Must be able to meet deadlines in a fast-paced quickly changing environment.
- Professional level verbal and written communications skills.
- Ability to keep information organized and confidential.
- Basic mentoring skills necessary to provide support and constructive performance feedback.
- Proven experience as an Office Manager, Front Desk or Administrative Assistant
- Knowledge of office administrator responsibilities, systems, policies, and procedures
- Proficiency in MS Office (MS Excel and MS Outlook, in particular) and Monday.com
- Hands on experience with office machines (e.g. fax machines and printers)
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
- Trustworthy with confidential information and a proactive problem-solver.
- High School degree
Working Hours
Monday to Friday: from 3:30 pm till 12:00Pm (Amman Time)
