Univeera is a university admissions platform helping high school students across the Middle East discover universities, find scholarships, connect with advisors and graduates, and receive support throughout the university application process.
We are looking for a highly responsive and confident Appointment Setter to manage incoming leads, qualify prospective students and parents, and convert enquiries into booked consultation calls with our admissions team.
Role Overview
The Appointment Setter will be responsible for contacting new leads within 1–5 minutes of them signing up, understanding what they are looking for, and encouraging qualified leads to book a consultation with a Univeera advisor.
The role also includes following up with leads who have not booked, reminding students and parents about upcoming meetings, reducing no-shows, and re-engaging leads who may not have responded initially.
Main objective: Turn incoming leads into qualified, attended appointments.
Key Responsibilities
- 1. Contact New Leads Immediately
· Call new leads within 1–5 minutes of receiving their enquiry or signup.
· Introduce Univeera clearly and professionally.
· Understand whether the lead is a student, parent, or other decision-maker.
· Identify the type of support they are looking for: university applications, scholarships, choosing universities or majors, studying abroad, or application support.
· Encourage suitable leads to book a consultation with the Univeera admissions team.
· Schedule qualified leads into available consultation slots and help them select a suitable meeting time.
· Ensure the correct contact information is captured.
· Confirm appointments through phone, WhatsApp, email, or the relevant CRM.
· Make sure every booked lead understands what the consultation is about and why they should attend.
- 3. Follow Up With Unresponsive Leads
· Follow up with leads who do not answer the first call, have not booked, said they would book later, or stopped responding.
· Use a structured follow-up process across calls and WhatsApp.
· Continue appropriately until the lead books, declines, or is considered inactive.
- 4. Reduce Meeting No-Shows
· Contact booked leads before their consultation and send confirmations and reminders.
· Follow up on the day of the meeting and confirm attendance.
· Immediately follow up with no-shows and attempt to reschedule them.
· Ask basic questions about current grade/year, school and curriculum, preferred countries, intended major, university start date, scholarship needs, application-support needs, parent involvement, and urgent deadlines.
· Pass detailed admissions questions to the appropriate Univeera advisor rather than providing complex admissions advice.
· Keep all lead information updated in the CRM.
· Record calls, WhatsApp conversations, notes, and outcomes.
· Maintain accurate lead stages such as New Lead, Attempted Contact, Contacted, Qualified, Appointment Booked, Appointment Confirmed, No Show, Rescheduled, Not Interested, and Follow-Up Required.
· Ensure no lead is forgotten or left without follow-up.
· Contact previous leads who did not initially convert.
· Re-engage students as university or scholarship deadlines approach.
· Follow up with students who previously wanted to apply later and bring relevant inactive leads back into the sales process.
- 8. Coordinate With the Admissions/Sales Team
· Provide advisors with clear notes before each consultation.
· Highlight urgent or high-intent leads and communicate specific student requirements.
· Coordinate on no-shows, rescheduling, and lead status where necessary.
· Confident and comfortable speaking on the phone.
· Energetic, persuasive, personable, and comfortable speaking with both students and parents.
· Persistent without being aggressive.
· Highly organised and disciplined with follow-ups.
· Comfortable using WhatsApp, phone calls, calendars, and CRM systems.
· Able to communicate clearly in English; Arabic is highly preferred.
· Able to respond quickly to incoming leads and work toward appointment-setting and conversion targets.
· Previous experience in appointment setting, telesales, education, admissions, customer service, or lead generation is preferred.
