The Receptionist will be responsible for managing daily front-desk operations and serving as the first point of contact for prospective students, current clients, parents, visitors, and business partners.dom, Canada, Germany, Australia, and more than 10 additional countries. With a proven track record of helping over 600 students gain university acceptance, Shatnawi provides personalized support throughout the university admissions process.
The team also assists students with scholarship applications, academic consultations, document preparation, and IELTS and TOEFL exam bookings. Shatnawi is committed to delivering reliable, student-centered guidance that helps students achieve their academic and career goals.
Role Description
This full-time role includes answering phone calls, responding to emails and online inquiries, welcoming visitors, and directing inquiries to the appropriate team members. The Receptionist will manage appointment scheduling, maintain digital and physical records, and support general administrative and clerical duties, including data entry, filing, document organization, and follow-up with clients.
The Receptionist will also be responsible for providing professional hospitality to office visitors, including greeting clients, guiding them to the appropriate waiting or consultation area, and offering water, coffee, or other refreshments when appropriate.
Additional responsibilities include coordinating consultations, providing general information about the company’s services, supporting customer service activities, and ensuring timely communication and follow-up with students and parents.
The ideal candidate will contribute to a welcoming, organized, and professional office environment while helping ensure the smooth operation of daily administrative activities.
Key Responsibilities
- Welcome students, parents, clients, and visitors in a friendly and professional manner.
- Answer incoming phone calls, emails, WhatsApp messages, and general inquiries.
- Direct inquiries and visitors to the appropriate counselor or team member.
- Schedule, confirm, reschedule, and cancel appointments as required.
- Provide hospitality services to visitors, including offering water, coffee, and refreshments.
- Maintain the cleanliness and organization of the reception and waiting areas.
- Enter and update client information accurately in digital systems.
- Organize, scan, file, and maintain student and administrative documents.
- Provide general information about the company’s services and consultation procedures.
- Follow up with clients regarding appointments, required documents, and pending inquiries.
- Support counselors and management with basic administrative and clerical tasks.
- Maintain confidentiality when handling student, client, and company information.
- Ensure that all visitors and callers receive a professional and positive customer experience.
Qualifications
- A minimum of a diploma or bachelor’s degree in Business Administration, Office Management, Marketing, Communication, Hospitality, or a related field.
- Strong phone etiquette and receptionist skills, with the ability to handle calls, inquiries, and front-desk responsibilities professionally.
- Proficient clerical and administrative skills, including data entry, document management, filing, and appointment scheduling.
- Effective written and verbal communication skills for interacting with students, parents, visitors, and colleagues.
- Customer service experience, with a focus on empathy, patience, professionalism, and problem-solving.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks and inquiries simultaneously.
- Ability to welcome and serve visitors professionally and provide appropriate hospitality.
- Basic proficiency in English is required; additional language skills are considered an advantage, particularly for communicating with international students and institutions.
- Basic proficiency in Microsoft Office, email platforms, and digital scheduling or customer management systems.
- Previous experience in an administrative, receptionist, customer service, hospitality, or call-center role is preferred but not required.
