Job Summary:
Support in booking and logistical execution of RFC venues, meeting spaces, workshops, and official activities. Coordinate venue and meeting rooms' reservations, assist in logistical requirements for internal workshops, including seating arrangements, coffee breaks, and lunch areas. Serve as the first point of contact for visitors, guests, and partners, ensuring a professional and welcoming demeanor and managing the Front Desk professionally. Responsible for facility bookings and private screening requests as the primary point of contact. Assist in the preparation and administration of Requests for Quotations (RFQs) for venue- and event-related services, and coordinate external courier and delivery services with vendors and service providers.
Duties and Responsibilities:
- Serve as the first point of contact for visitors, guests, partners, and stakeholders, ensuring a professional and welcoming demeanor.
- Receive and direct visitors, notify relevant staff of arrivals, and ensure compliance with visitor registration as needed and access procedures.
- Manage the Front Desk area, ensuring it is presentable, organized, and reflects RFC's professional image at all times.
- Answer, screen, and direct incoming telephone calls and general inquiries in a professional and timely manner.
- Coordinate meeting room bookings and maintain the centralized calendar for meeting rooms, screening facilities both indoors and outdoors, and common areas to ensure efficient utilization.
- Prepare meeting rooms prior to meetings by coordinating seating arrangements, audiovisual equipment, refreshments, and other logistical requirements.
- Assist in coordinating hospitality arrangements for meetings, workshops, screenings, official guests, consultants, and delegations, including restaurants and catering services providers’ reservations as required.
- Assist in obtaining quotations and pricing from hospitality, hotel, catering, venue, and related service providers, maintaining updated records of approved vendors and service rates as required.
- Coordinate hotel reservations for RFC guests, consultants, trainers, and employees within Jordan through the approved list of hotels, assist in obtaining updated offers and quotations as required, and ensure all bookings are confirmed and communicated in a timely manner.
- Coordinate restaurant reservations for RFC guests and delegations within Jordan through the approved list of restaurants, obtain updated offers and quotations as required, and ensure all bookings are confirmed and communicated in a timely manner.
- Coordinate logistical support for RFC private events, private screenings, workshops, and internal activities, ensuring all logistical arrangements are completed on time.
- Act as the focal point for external requests related to the booking and use of RFC facilities for private events, screenings, casting activities, and filming requests, coordinating with relevant internal departments.
- Coordinate outgoing courier services, official mail, and deliveries both within Jordan and abroad, in coordination with external service providers, ensuring timely dispatch and receipt.
- Assist in preparing Purchase Requisitions (PRs), Requests for Quotations (RFQs), and supporting procurement documentation related to hospitality, facilities, and administrative services.
- Obtain quotations from vendors and maintain updated records of hospitality, venue, transportation, and catering service providers as required.
- Maintain organized physical and electronic filing systems for administrative, procurement, hospitality, and facilities-related documentation.
- Maintain inventories and records of office furniture and appliances, including periodic updates and asset labeling. Manage assets and ensure procedures are followed.
- Coordinate with suppliers and service providers to ensure the timely delivery of administrative, hospitality, and facility-related services.
- Support the preparation of departmental reports, event documentation, and other administrative records as required.
- Provide general administrative support to the Administration Department and perform any other duties assigned by the Manager.
Job specifications:
Education: B.A in Business Administration or related field.
Experience: 2-5 years, out of which two years in administrative, logistical, or events sector
Special Factors (Pluses): Film production knowledge and film culture are preferable.
