The
Executive Assistant to the
CEO plays a critical role in supporting the CEO’s professional and personal operations. This position requires a highly organized, proactive, and adaptable professional who can manage complex schedules, communications, projects, and high-level administrative responsibilities in a fast-paced, entrepreneurial environment. The ideal candidate is a strategic thinker with exceptional attention to detail and the ability to anticipate needs before they arise.
Key Responsibilities
- Calendar & Scheduling Management
- Manage and maintain the CEO’s calendar, ensuring efficient scheduling of meetings, appointments, and events.
- Proactively prioritize, adjust, and reorganize schedules based on evolving business needs and priorities.
- Coordinate all travel arrangements, including flights, accommodations, and ground transportation.
- Communication Management
- Serve as the primary point of contact between the CEO and internal/external stakeholders.
- Draft, review, prioritize, and manage emails and correspondence on behalf of the CEO.
- Screen incoming calls, messages, and inquiries, determining urgency and responding or routing appropriately.
- Project Management & Coordination
- Support the execution of special projects, ensuring deadlines and objectives are met.
- Coordinate with cross-functional teams to track progress on key initiatives.
- Conduct research and gather information to support meetings, projects, and strategic decisions.
- Administrative Support
- Prepare, organize, and maintain documents, presentations, and reports for meetings and events.
- Assist with financial reporting, budgeting, and expense tracking.
- Provide general office support, including ordering supplies and maintaining organized filing systems.
- Event Planning & Coordination
- Plan and coordinate professional and personal events, including meetings, conferences, and networking engagements.
- Ensure the CEO is fully prepared for all engagements, providing materials, agendas, and logistical support.
- Personal Assistance
- Manage personal tasks such as household coordination, personal appointments, and errands.
- Handle sensitive personal and professional matters with the highest level of discretion and confidentiality.
- Research &Special Projects
- Conduct research and compile data related to business initiatives, investments, and personal interests.
- Manage and complete ad hoc assignments as directed by the CEO.
Skills & Qualifications
Experience: 7–10+ years of experience as an Executive Assistant, Personal Assistant, or similar role, preferably supporting multiple senior executives or business owners in a fast-paced environment.
Organizational Skills: Exceptional ability to manage multiple priorities and complex workflows simultaneously.
Communication Skills: Strong written and verbal communication skills with the ability to engage professionally at all organizational levels.
Technical Proficiency: Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and familiarity with project management tools such as Asana or Trello.
Discretion & Integrity: Proven ability to handle confidential and sensitive information with professionalism.
Problem-Solving: Strong analytical and critical-thinking skills with a solutions-oriented mindset.
Flexibility: Ability to adapt quickly in a dynamic, evolving environment.
Attention to Detail: Meticulous attention to accuracy and quality in all tasks and communications.
Project Management: Demonstrated experience managing projects from planning through execution.
