🚀 About the Role
We’re looking for a tech-savvy Automation Specialist who’s passionate about systems, optimization, and freeing up human time through well-executed automation. This role is critical to freeing the founder’s bandwidth and building long-term scalable infrastructure across marketing, sales, admissions, instruction, and career coaching.
You'll help us move from scattered tools and SOPs to a cohesive system of automated processes, dashboards, and centralized knowledge.

🧠 Key Responsibilities
🔹 Phase 1: Build the Founder’s AI Operating System
- Create a custom, internal AI assistant dashboard to organize tasks, trigger automations, and provide fast access to SOPs, links, and info.
- Integrate tools like Notion, Google Docs, and more — so the founder spends less time searching and more time creating.
🔹 Phase 2: Build the Company Information Bank
- Centralize operational knowledge across Marketing, Sales, Admissions, Instruction, and Career Coaching.
- Organize SOPs, FAQs, and team processes from Notion, Google Docs, Drive, and Confluence into one searchable knowledge hub.
- Design a dashboard-style interface for team use.
🔹 Phase 3: Automate Sales & Admissions Pipelines
- Use tools like n8n to automate:
- Follow-ups with prospects.
- Reminders and nudges based on deal stages.
- Task assignments to admissions team.
- Collaborate with the Sales Manager to improve conversion speed and response time.
🔹 Phase 4: CRM Creation
- Build or integrate a light CRM system to track leads, applicants, progress, and team activities.
- Must be customized to our coding bootcamp sales model (Phone & Zoom calls, WhatsApp follow-ups, etc.)

⚒️ Tools You Might Use or Need to Learn (Based on MERAKI's Ecosystem):
- n8n (main automation tool).
- Notion or ClickUp for project tracking & Info Bank System(or integrate existing systems).
- Google Workspace (Docs, Sheets, Forms, Calendar, Drive).
- WhatsApp Business API / Twilio / Meta for sales automations.
- Make (Integromat).
- Zapier – legacy automations.
- Tally / Jotform / Typeform – forms and data capture.
- Slack / Discord – team notifications.

💡 Other Projects
- Automate internal daily reports for departments (e.g., new leads, payment status, student issues).
- Create dashboards for cohort health, attendance, or team performance.
- Build personalized AI tools (GPT + Notion/Google Sheets integrations).

✅ Requirements
- Proven experience building automations using n8n (must have real use cases, not theory).
- Strong understanding of workflow logic, API integrations, and data pipelines.
- Experience organizing documentation across multiple platforms.
- Comfortable reading SOPs and improving them as you automate.
- Self-starter, organized, and able to suggest better tools if needed.
- Great communication — you're building things that others rely on.

🕓 Working Hours & Pay
- Flexible Shift (Remote): preferred 7 PM - 11:30 PM (GMT+3 / Jordan Time).
- Part-Time: 50-100 hours/month (4.5 hours/day).
- Pay: Hourly rate or monthly retainer, depending on experience & scope.
