Administer all operational functions for Jordan branch office location; liaise with UK and US HQ’s staff for guidance in Service, Program / Project Management, HR, and Legal support necessary to maintain “best in class” support services. Work with finance staff and external providers on various tax compliance, payroll and banking related matters.
Responsibilities
Operational Support for Rapiscan Jordan
- Building / Utilities
- Working with Managers, schedule use of facilities such as training and conference rooms, arrange for catering and other special needs
- Procuring entry permits, visas & labour documents for incoming staff, maintenance and renewal of these credentials
- Visa arrangements in other countries of region for staff and visitors
- Oversee all issues related to sponsorship and leases for training centre, villa and fleet vehicles
- Manage maintenance, upkeep and repairs at office location, including maintenance staff and contractors
- Arrange and manage installation and maintenance of telecommunications and other systems
- Manage purchase and/or lease of all furniture, office systems (such as phones, copy and fax machines etc) and supplies.
- Administrative support including phone calls, letters, file maintenance etc.
- Cheques and Cash deposits/withdrawals
- Room Reservation for foreigners guest
- Printing submittals, Business cards, Training
- Certificates and office supplies
- Inventory
- Coordinate with UK and US Logistics to ensure proper transfer of stock between Main Store and Van stock
- Perform cycle count on inventory on a weekly / monthly / quarterly / biannual / annual stock counts
- Spares Follow up Log In/Out
- Field Service
- Key document management for service efforts
- Providing necessary service reports for US and UK offices
- Maintaining records in Navision / Resco (including support RSSC in India)
- Book and maintain travel schedule, often requiring last minute changes to travel itinerary
- Finance/ Purchasing
- Assisting with staff housing issues, including leasing, payments, insurance, etc.
- Maintain financial records for all aspects of facilities, from leases to petty cash
- Handling office petty cash and Credit cards.
- Assist Accounts Payable (AP) on invoicing/payments
- Assist payroll where required, specifically with new employee set ups
- Liaise with in-country banks on ad-hoc basis
- Setting up new suppliers on Navision and Raising Purchase Order for new suppliers.
- Assist finance with tax activities, specifically VAT returns, corporation tax, payroll taxes and social insurance
- HR/Legal
- Ensuring compliance with foreign and domestic licensing, renewal & amendments for doing business in the Jordan
- Maintain marketing collateral and product manuals in both Arabic and English
- Ensure translations of other documents as appropriate
- Work closely with UK, US, and General Counsel’s office to ensure compliance in all personnel issues in region
- Maintaining accurate and timely employee records for inspection by Jordan officials
- Authenticating staff academic and other credentials as required by Jordan government

Candidate Requirements
- PC literate
- Self-motivated and self sufficient
- Work on their own under pressure
- Proficient in English (written and oral)
- Proficient in MS Office Suite (Work, Excel and Powerpoint)
