Overview:
Vardot is looking for a Business Operations Lead to own the systems behind our sales, customer, and delivery data. You’ll run and build on HubSpot, develop internal apps on platforms like Replit, manage our analytics stack (Google Tag Manager, Microsoft Clarity), and turn data into reporting that sales, leadership, Product Owners, and Project Managers rely on. This is a hands-on role, part systems implementation and part analytics. You’ll design systems and automations, keep data clean, and make sure the right people get the right numbers. You’ll report to the VP, Service Delivery.
Responsibilities:
- HubSpot (CRM, Sales, Marketing, Service)
- Own HubSpot administration, including properties, pipelines, deal and lifecycle stages, user roles, and permissions.
- Build and maintain workflows, sequences, lead scoring, and routing that reflect how our sales and delivery teams actually work.
- Keep data clean through deduplication, enrichment, import standards, and governance rules others can easily follow.
- Manage integrations between HubSpot and Jira, Slack, Google Workspace, accounting platforms, and internal apps using native connectors, APIs, and webhooks.
Internal Apps and Automation:
- Design, build, and maintain internal tools on Replit and related platforms to close gaps between systems.
- Write and maintain scripts, API integrations, and automations in JavaScript/TypeScript or Python.
- Use Claude and AI agents to speed up development, automate repetitive work, and build smarter workflows.
- Document everything you build so it can be maintained, handed over, and audited.
Reporting and Data:
- Build dashboards and reports for sales pipeline, forecasting, marketing attribution, and customer health.
- Define metrics with stakeholders so reports drive decisions, not just track activity.
- Ensure data handling meets privacy and confidentiality standards.
Delivery Support:
- Give Product Owners and Project Managers the data and tools they need, including profitability, delivery status, utilization, and sales-to-delivery handoff.
- Automate recurring reports and manual processes such as status pulls, timelines, and data reformatting.
- Be the go-to person for systems questions, training, and process improvements.
Your First 90 Days:
- Days 1 to 30: Audit HubSpot, GTM, Clarity, and existing internal apps. Document the current setup, data quality issues, and top pain points across sales and delivery.
- Days 31 to 60: Ship quick wins by fixing the highest-impact data and workflow issues, and automate at least one recurring manual report.
- Days 61 to 90: Deliver a core reporting suite (pipeline, forecasting, sales-to-delivery handoff) and a prioritized systems roadmap for the next two quarters.
Requirements:
- Must have 3 to 4 years in CRM, RevOps, or sales/marketing operations, including at least 2 years as the primary HubSpot administrator.
- Deep, hands-on HubSpot experience: workflows, custom objects, properties, reporting, and integrations.
- Ability to write, debug, and ship code in JavaScript/TypeScript or Python, and work with REST APIs and webhooks.
- Strong reporting and data skills: modeling data, building dashboards, and explaining what the numbers mean.
- Experience with SQL and data tools such as BigQuery, Looker Studio, or similar.
- Comfort using AI tools (Claude, agents, coding assistants) in your daily work.
- Clear written and spoken English, and the ability to work across sales, delivery, and leadership teams in multiple time zones.
- An owner’s mindset: you spot broken processes and fix them without being asked.
Nice to have:
- Experience in a digital agency or professional services business, especially with pipelines tied to delivery and utilization.
- Familiarity with Jira, Tempo, Confluence, and Slack integrations.
- Experience building AI agents or MCP-based integrations.
- Working knowledge of Google Tag Manager and web analytics platforms (GA4, Clarity, or similar).
- HubSpot certifications.
