Job Purpose
The Warehouse Supervisor is responsible for overseeing the day-to-day warehouse operations, ensuring the efficient receipt, storage, handling, and dispatch of goods. The role supervises warehouse personnel, coordinates loading and unloading activities, ensures proper inventory management using the First-In, First-Out (FIFO) method, and maintains compliance with company policies and applicable health, safety, and regulatory requirements. The Warehouse Supervisor works closely with the Purchasing Officer to ensure smooth warehouse operations and inventory accuracy.
Key Roles & Responsibilities
- Warehouse Operations Supervision
- Supervise and coordinate the daily activities of warehouse staff, assigning tasks related to receiving, storage, order preparation, loading, and unloading.
- Ensure customer orders are accurately picked, packed, and loaded onto delivery vehicles according to approved quantities and schedules.
- Monitor warehouse operations to ensure efficiency, productivity, and adherence to established operating procedures.
- Maintain a clean, organized, and safe warehouse environment in accordance with company standards.
- Monitor employee performance, provide day-to-day guidance, and promote continuous improvement in operational efficiency.
- Report operational issues and recommend process improvements to the Purchasing Officer.
- Participate in periodic and annual physical inventory counts and stock reconciliation activities.
- Ensure proper filing and maintenance of warehouse documentation, including receiving records, delivery notes, inventory records, and related documents.
- Receiving, Storage, and Inventory Management
- Coordinate the receipt of materials from suppliers in collaboration with the Purchasing Officer, ensuring all deliveries match purchase orders in terms of quantity, quality, and specifications.
- Verify the condition of received goods and report discrepancies, shortages, or damaged items promptly.
- Assist in reviewing and recording daily purchase invoices and receiving documentation.
- Ensure all inventory is stored according to approved warehouse standards and product-specific storage requirements.
- Ensure inventory rotation is maintained in accordance with the First-In, First-Out (FIFO) inventory management system.
- Monitor stock conditions and ensure expired, damaged, or non-conforming materials are isolated, documented, and reported according to company procedures.
- Support inventory accuracy through regular stock inspections and reconciliation activities.
- Compliance, Safety, and Quality
- Ensure warehouse operations comply with company policies, standard operating procedures, and internal controls.
- Monitor compliance with applicable regulations issued by the Ministry of Health and the Food and Drug Administration (FDA) or other relevant regulatory authorities.
- Ensure all warehouse staff follow health, safety, hygiene, and occupational safety requirements.
- Promote safe material handling practices and ensure proper use of warehouse equipment and storage facilities.
- Support internal and external audits by maintaining accurate warehouse records and ensuring operational compliance.
- Reporting and Administrative Responsibilities
- Prepare and submit operational reports related to warehouse activities, inventory status, and operational performance as required.
- Communicate inventory shortages, stock discrepancies, damaged goods, and operational concerns to the Purchasing Officer in a timely manner.
- Maintain accurate warehouse records and ensure all transactions are properly documented.
- Perform any other duties assigned by the direct manager that are consistent with the scope and responsibilities of the position.
