Job Description
We are looking for a proactive and detail-oriented Financial Administrator to join our finance team at a leading media and advertising agency. The ideal candidate will be responsible for managing and following up on outstanding client payments, ensuring timely collections, and maintaining healthy cash flow.
This role requires strong communication skills, a good understanding of client contracts, and the ability to collaborate with internal account managers and external client contacts. Experience in the advertising or media industry is a strong asset.
Key Responsibilities
- Extract weekly account receivable report from the system and follow up with the clients to organize the collection.
- Collect cash and checks payments from customers as per the request of the direct manager based on the business needs.
- Record payments in the financial system, ensuring accuracy and completeness.
- Conduct daily follow up calls/emails on overdue payments and send emails to customers for the collection of outstanding debts, copying the direct manager.
- Receive/collect checks from customers and deliver them to bank account within two business days.
- Deliver invoices and other financial documents to customers and ensure they are delivered within two business days.
- Communicate with the Finance Manager to resolve issues related to customers financial inquiries or issues that may arise.
- Extract monthly account statements and deliver them to the client (email or by hand).
- Comply with financial policies, procedures, and legal requirements.
- Disburse petty cash check upon the request of the Finance Manager.
- Handle office supplies orders and purchases upon the request of the Financial Manager.
- Handle government related tasks upon the request of the financial manager.
- Provide support in other financial tasks as needed and directed by financial management.
Qualifications
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
- 1–3 years of experience in collections, preferably within a media or advertising agency.
- Familiarity with invoicing and accounting systems (e.g., QuickBooks, Xero, SAP).
- Proficiency in Microsoft Excel and reporting tools.
- Strong attention to detail and organizational skills.
- Excellent communication and negotiation skills.
- Ability to handle pressure and meet deadlines.
- Knowledge of VAT, invoicing, and contract terms is a plus.
